Assistant Property Manager
About the role
The Assistant Property Manager supports property management and the building maintenance team. This role involves administrative and clerical tasks, including tenant and vendor support, financial reporting, contract preparation, and accounts receivable collections.
Responsibilities
- Accounts Receivables: Assist in monitoring delinquency reports, pursue tenant collections, document activities, prepare adjustments, write-offs, and late fees, and review and close billable work orders.
- Accounts Payables: Review and approve invoices, process vendor credit applications, support monthly accruals, and ensure property tax payments are processed on time.
- Property Financials: Assist in the annual capital plan, operating budget, and reforecast, and complete monthly variance and capital reporting.
- Lease Administration: Understand lease terms, monitor lease changes, prepare commencement letters, and maintain letters of credit and tenant deposits.
- Building Maintenance, Construction, and Security: Assist with building inspections, manage maintenance and capital projects, conduct fire drills, and support security.
- Tenant Relations: Implement a tenant visitation program, maintain relationships, resolve tenant requests, and plan tenant events.
- Other: Stay involved in local community and real estate organizations.
Requirements
- At least three years’ experience in property management, preferably in commercial real estate.
- A two or four-year college degree preferred or equivalent work experience.
- Proficiency in Microsoft Office, especially Excel.
- Experience with Angus, Yardi, or similar real estate software.
- Understanding and capability to prepare vendor and construction contracts.
- Excellent verbal and written communication skills.
- A self-starter, self-disciplined, and highly organized individual.
- Team-oriented and highly dependable.
- Frequent movement and ability to inspect all property areas, including the roof and basement.
- Routine physical presence at the office for support and backup.
- Annual travel for two to three days to attend company-wide meetings.

Skills
Strong organizational and communication skills, proficiency in Microsoft Office, particularly Excel, and experience with real estate software are essential. Must be able to stand, sit, or walk for extended periods and perform routine physical presence at the office.
