Essential Function of the Position
Assist the Property Manager in managing the day-to-day operations of the community.
Responsibilities
- Greeting prospects.
- Qualifying prospective residents.
- Answering the telephone in a cheerful, professional, and informed manner and obtaining an appointment with the prospect.
- Touring model and making-ready units and closing the sale.
- Aiding the Property Manager with rent postings, notices, and other administrative duties.
- Preparing monthly newsletters for residents.
- Creating flyers and other resident correspondence.
- Regularly and effectively marketing on an ongoing basis, including building rapport with federal, state, and local agencies, potential employers, and other potential sources of prospective residents.
- Accompanying the Property Manager to market area vendors, attending Apartment Association functions, and Chamber meetings.
- Accepting applications for residency; checking to see if they are complete, explaining application fees and deposit fees, determining move-in dates and apartment preferences, processing necessary checks for final management approval, completing all leases and addendums, and explaining the lease to residents.
- Having a thorough understanding of rental applications, leases, and related documents.
- Understanding the competition, including amenities, prices, etc.
- Preparing weekly traffic reports.
- Following lease renewal and recertification processes.
- Notifying maintenance of service requests; answering the phone, checking answering services, writing up service requests, and following up with residents to ensure service was satisfactory.
- Filing service requests at completion.
- Ordering all office supplies.
- On a rotation basis, or as needed, sharing exterior maintenance duties, which include monitoring grounds, picking up trash, sweeping parking, common, and dumpster areas, trimming, weeding, planting flowers and shrubs, painting, and cleaning, if necessary, writing up service requests for any exterior repairs needed, vacuuming the swimming pool, maintaining chemical balances, arranging pool furniture and removing trash from the pool areas, ensuring boot leg or bandit signs are in proper locations, are in good condition, and banners or balloons are attached, ensuring clubhouse, office, and public areas are clean and smell fresh, preparing refreshments for prospective residents, accepting rental payments, and being able to fill the position of Property Manager or Leasing Consultant in the absence or vacation of either.
- Following owner and management procedures and requests as directed.
Qualifications
- Requires computer skills and word processing skills.
- Must be able to work at least a 40-hour work week and be available as staffing needs on weekends.

- Must be able to determine colors properly because of decorating, design, paint colors, etc.

- Frequent need (20% to 25% of the time) to utilize personal transportation to inspect apartment property and surrounding neighborhood, make trips to the bank, and visit the Home Office.
- Valid driver’s license and automobile insurance.
- Indoors (66% to 100% of the time); frequently outdoors, all conditions (33% to 66% of the time).
- Occasional exposure to caustics, solvents, oils, paint fumes, flammables, pesticides, etc. (less than 10%).
- High – Must be able to apply principles of logical thinking to define problems, collect pertinent data, establish facts, draw valid conclusions, and initiate appropriate course of action.
- Must effectively convey ideas, images, and goals to diverse groups of personalities.
