Assistant Property Manager
Primary Purpose of Position
Aid the Property Manager in resolving operational issues, interacting with clients and vendors, and maintaining property appearance.
Essential Functions
- Assist in developing and mentoring the Property Management Coordinator.
- Mobilize others to meet or exceed client expectations and goals.
- Escalate potential issues to leadership.
- Promote and maintain positive client relations through regular communication and follow-up.
- Coordinate new client orientations, move-ins/move-outs, fire warden training, and evacuation drills.
- Respond to site emergencies and participate in company emergency protocols.
- Manage client work order requests and contracts.
- Maintain financial management, including preparing budgets, accruals, and reporting variances.
- Analyze maintenance programs and provide recommendations for efficiency and effectiveness.
- Manage contractor insurance and contract documentation.
- Identify and pursue additional client service income.
- Oversee electric meter readings and billing processes.
- Review and approve property invoices according to the approval matrix.
- Inspect and maintain client spaces, common areas, and grounds.
- Collaborate with external and internal stakeholders to deliver quality customer service.
- Participate in CapEx projects, vendor performance evaluations, and lease showings.
- Attend industry conferences and conventions.
Requirements and Qualifications
- Bachelor’s degree in business administration, real estate, or related field required.
- 2-5 years of property management experience preferred.
- Continuing education in RPA or CPM certification courses, and LEED approved courses highly desirable.
- Working knowledge and understanding of operating costs, budgeting, and expense control.
- Proficiency with Microsoft Office applications.
- JD Edwards experience preferred.
- Familiarity with ADA and OSHA regulations.
- Demonstrated ability to organize and prioritize tasks in a fast-paced environment.
- Excellent verbal and written communication skills.
- Excellent interpersonal skills.
- Ability to respond creatively and resourcefully to multiple tasks and situations.
- Ability to work independently and as part of a team.
- Ability to handle stress and meet deadlines.
Physical Requirements
- Work involves sitting and standing, bending, reaching, talking, hearing, and occasional exposure to vibration, noise, dust, and temperature ranges.
- Regularly required to walk, climb stairs, and perform physical inspections of properties and sites.
Reporting Structure
Reports to the senior most property manager in the assigned portfolio.
Salary Range
$79,310 - $107,000. BXP offers a competitive total rewards package including base salary and annual discretionary bonus.
