What You'll Do
- Aid Account Managers and Branch Manager with applicant tracking in our ATS
- Coordinate new hire paperwork, uniforms and scheduling
- Maintain office supplies and inventories
- Track and process documents for efficient billing
- Provide exceptional customer service while greeting visitors and managing the reception area
- Operate multi-line telephone console, transfer calls and take messages
- Perform general administrative duties such as filing, photocopying, scanning and faxing
- Prepare outgoing correspondence, accept incoming correspondence, open and sort mail/FedEx/UPS
- Aid with entering and coding timesheets and coordinating payroll for the Branch
- Aid with requisitions and purchase orders for Branch field management
What We're Looking For
- Highly organized, resourceful and a strong multi-tasker
- Ambitious, proactive and a self-starter
- High attention to detail, be highly organized and able to multitask, often with minimal supervision
- Three years of prior experience in an Office Manager/Administrative Assistant role is necessary
- Prior experience with financial software packages preferred
- Associates degree in business or related major preferred
- Strong oral and written communication skills
- Bilingual (English/Spanish) communication skills are highly preferred
