Assistant Office Manager
Key Responsibilities
- Prepare, review, and process customer invoices with accuracy.
- Generate work tickets, proposals, and related documentation.
- Answer incoming calls, respond to customer inquiries, and provide professional support.
- Aid with daily accounting functions and recordkeeping.
- Support payroll processing, prevailing wage compliance, and attendance tracking.
- Aid with HR documentation and administrative tasks.
- Filing, copying, preparing mailings, and general office upkeep.
- Perform other duties as assigned.
Qualifications
- High School diploma or GED required.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Excellent communication skills—written and verbal.
- Strong attention to detail and accuracy.
- Outstanding customer service abilities.
- Minimum 2 years of accounting experience.
- Office management experience is a plus.
Physical Demands
- Light physical activity such as standing, walking, and sitting for extended periods.
- Lifting up to 25 lbs occasionally (e.g., moving office supplies, files, or mail packages).
- Repetitive motions including typing, filing, and handling paperwork.
- Ability to bend, reach, and carry items as needed for office tasks.
