About the role
The Assistant, Front Office serves as one of the first points of contact for the San Jose Earthquakes and helps create a welcoming, professional, and organized office environment for fans, guests, clients, and employees. This role supports daily front desk operations, reception coverage, and general office support while ensuring a positive experience for all visitors and staff. This is a part-time, fully in-person position with scheduled weekday office coverage hours. Flexibility to support occasional events, match days, or adjusted schedules may be required. Strong communication, reliability, and consistency are essential.
Responsibilities
- Greet and assist fans, business partners, vendors, clients, and visitors in a professional and welcoming manner
- Answer inbound phone calls and direct inquiries to appropriate contacts within the organization
- Relay messages clearly and accurately to staff members
- Maintain a strong working knowledge of the organization to answer general Earthquakes-related questions
- Support daily reception and front office coverage responsibilities
- Maintain a clean, organized, and professional lobby and reception area
- Manage shipping and receiving processes
- Coordinate package delivery and pick-up for Bay FC
- Address guest or visitor concerns and assist in finding solutions when appropriate
- Work directly with Ticket Operations, Sales, and Account Service teams to assist clients and process ticket orders through Tixr, including troubleshooting basic ticketing and account issues
- Assist with monitoring office and breakroom supplies and notify leadership when replenishment is needed
- Serve as a point of contact for general office and breakroom equipment issues, including printers, postage, coffee machines, and related equipment
- Support day-to-day office operations and provide general administrative assistance as needed
- Maintain clear communication and notes between shifts to ensure seamless front office coverage and visitor support
- Additional duties as assigned
Requirements
- Bachelor’s degree preferred

- Ability to multitask, prioritize, and thrive in a fast-paced and changing environment
- Proficiency in Microsoft Office Suite and the ability to quickly learn new programs and processes
- Creative problem-solving skills and proactive thinking

- Positive attitude, calm demeanor, and commitment to providing assistance
- Reliable attendance and punctuality
- Bilingual in Spanish is a plus
