Summary
Provide high level administrative support to the Executive Vice President of Events. This role blends high-level executive support as well as some operational and project specific responsibilities in support of various NHL events such as Outdoor Games, NHL All-Star Weekend, Stanley Cup Final, Draft and World Cup of Hockey. The ideal candidate is proactive, highly organized with an interest in sports, entertainment and events.
Essential Duties And Responsibilities
- Coordinate travel arrangements both domestic and international including air, ground and hotel arrangements
- Calendar management scheduling internal and external meetings and resolving schedule conflicts
- Professionally answering and screening phones and timely relaying messages
- Prepare and accurately reconcile expense reports in a timely fashion and ensure compliance with company policies
- Cookordinate and facilitate internal and external meetings and zoom calls
- Process invoices and track outstanding billing
- Interact positively with a variety of departments within the organization as well as member clubs, host venues and key vendors
- Other miscellaneous / departmental-related duties as assigned
Qualifications
- Knowledge of Microsoft Word, Excel, PowerPoint and Outlook required
- Prior experience in a support role preferred
- Working knowledge of hockey and the NHL preferred
- French language skills a plus
- College Degree Required
- Must be highly organized, and multi-task oriented
- Ability to work well in a publicly visible, high pressure and deadline-oriented environment
- Highly developed verbal and written communication skills with the ability to influence at leadership levels
- Demonstrable proficiency in data analysis and assessment abilities
- Highly organized, attention to details and strong follow-through
- A positive energetic attitude
- Willingness to travel for certain NHL Events as assigned
