About the role

The Assistant Events Manager ensures small to medium group and event functions—such as holidays, small internal events, corporate retreats, family gatherings, and other private group gatherings—are executed flawlessly, always prioritizing guest satisfaction.
Assistant Event Managers will manage 3-6 holidays per year as part of Blackberry’s Holiday Programming. They will also support larger programs led by Event Managers and may assist with internal events like Food & Wine, Enrichments, and Concerts.
Responsibilities
- Manages internal contracted groups and internal events, small to medium in size
- Supports Event Managers for larger programs
- Works weekends, holidays, and nights as necessary to assist with onsite programs
- Manages all program logistics through planning, execution, and billing, including room blocks, activities, meals, meetings, special needs, and tracking reservations
- Acts as primary contact for guests, vendors, group planners, and internal department heads during planning and on-site
- Creates resumes, rooming lists, transportation manifests, and activity lists
- Communicates program requirements and logistics to all operational staff
- Creates and sends final invoices for group billing, providing backups for disputed items
- Executes holidays and small internal events within budget guidelines
- Crafts memorable experiences for groups to meet revenue goals
- Creates and maintains reports to track profitability, expenses, and revenue
- Complies with all company policies and procedures; maintains regular and consistent attendance
- Collaborates effectively with team members and managers while interacting with guests
Requirements
- College degree or equivalent experience in event coordination preferred
- Hospitality industry experience required
- Proficiency in Microsoft Windows, Word, Excel, PowerPoint, and Outlook
- Experience with Opera and ResortSuites preferred
- Excellent verbal and written communication skills
- Knowledge of basic accounting principles for reporting, statistics, and budgets
- Ability to make sound business decisions regarding sales and customer requests
- Strong time-management skills to handle multiple projects efficiently
Physical Demands
- 80% computer and phone work at a desk
- 20% on-property management, including movement of event décor and furniture
- Ability to sit for long periods, work extensively on computer/phone, and multitask
- Must be able to safely operate a company vehicle or golf cart
Work Environment
- General office setting
- May require working outside in all weather conditions
- Nights and weekends required as necessary
