Assistant Community Manager - The Lyndon

About the role
This role supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community. Responsibilities include completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent and fees, completing bank deposits and reconciliations, and using property management software to record, track, and report on all financial workings of the community.
Responsibilities
- Complete daily financial transactions, including collecting and posting rent, fees, and other payments, preparing bank deposits, reconciling bank accounts, preparing financial reports, and processing invoices and payables.
- Operate property management software (Yardi/OneSite) by entering required fields correctly, completing updates and backups, and ensuring system integrity.
- Review resident files and accounting records to identify unpaid or late fees, communicate with residents regarding outstanding balances, implement collection procedures, and enforce lease terms to maximize revenue.
- Review and submit vendor, contractor, and service provider invoices for payment by reconciling work performed or products purchased, obtaining community manager approval, coding charges, and managing communication between stakeholders.
- Follow established procedures for evictions, including proper notice requirements, representing the community in court hearings, and evicting residents.
- Process resident move-outs by reviewing lease terms, applying appropriate fees, and processing dispositions in accordance with legal requirements.
- Promote resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner and resolving service issues.
- Act as on-site supervisor in the absence of the community manager by organizing daily work, coordinating maintenance tasks, and managing community operations in compliance with company policies.
- Assist in managing the client/owner relationship by meeting with owners, conducting community tours, providing performance updates, and responding to requests.
- Support leasing and marketing efforts by greeting prospective residents, gathering prospect information, showing apartments, closing leases, and assisting with rental applications and credit verification.
- For California only: Review all completed move-in files prior to submission to the Community Manager for approval.
Requirements
- Bachelor’s degree in Business Management, Communications, or related field from an accredited college or university.
- 1-3 years of relevant experience in residence life and/or property management, demonstrating skills in community management, sales, marketing, customer service, financial record-keeping, and team coordination.
- Understanding of lease terms, lease enforcement, and collections.
- Excellent written and verbal communication skills.
- Detail-oriented, self-motivated, and able to work independently or as part of a team.
Skills
- All required licenses and/or certifications as mandated by state and local jurisdictions.
- Valid driver’s license to operate a golf cart on property.
- Proficiency in internet, word processing, spreadsheet, and database management programs.
- Strong proficiency in property management software (Yardi, OneSite, Entrata, etc.).
Physical Demands
- Work in an office environment with frequent exposure to outside elements, including temperature, weather, odors, and/or hazardous landscapes.
- Ability to physically access all exterior and interior parts of the property and amenities.
- Ability to push, pull, lift, or maneuver weights of up to 20 pounds independently and 50 pounds with assistance.
- Routine local travel may be required for bank deposits, training, or other responsibilities.
- Occasional travel may be required for business meetings or training programs.

Pay
Many factors determine employee pay within the posted range, including business requirements, prior experience, current skills, and geographical location. This role may be eligible for quarterly or annual bonus programs based on individual and company performance.
