Assistant Community Manager - Patrick's Pointe

About the role
This role supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community. Responsibilities include completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent, fees, and other payments, completing bank deposits, dispositions, and account reconciliations, and using the property management software to record, track, and report on all financial workings of the community.
Property: Patrick's Pointe (266-unit garden community in Southern Pines, NC – lease-up stage). Schedule: Monday-Friday plus rotating weekends.
Responsibilities
- Complete daily financial transactions: collect and post rent, fees, and other payments; prepare daily bank deposits and reconcile bank accounts; prepare financial reports; process invoices and payables.
- Operate property management software (Yardi/OneSite): enter all required fields correctly, complete updates and back-ups to ensure system integrity.
- Review resident files and accounting records to identify unpaid and/or late fees; communicate with residents regarding outstanding balances; implement collection procedures and enforce the lease to maximize revenue.
- Review and submit vendor, contractor, and service-provider invoices for payment: reconcile work performed or products purchased, obtain community-manager approval, code charges to appropriate Chart of Account codes, and manage communication between vendor/contractor, accounting, and client/owner.
- Follow Company eviction procedures: ensure proper notice requirements, evict residents, and represent the community in court hearings and eviction proceedings.
- Process resident move-outs: review lease terms and notice requirements, apply appropriate deposit and lease-cancellation fees, and process dispositions in accordance with established procedures and legal requirements.
- Promote resident satisfaction and retention: respond to complaints, questions, and requests in a timely manner; take appropriate action to resolve and address service issues.
- Act as on-site supervisor in the absence of the community manager: organize and delegate daily work, coordinate maintenance and make-ready tasks with the maintenance supervisor, and manage community operations in compliance with Company policies and procedures.
- Assist in managing the client/owner relationship: meet with owners, conduct community tours, provide updates on community performance, and respond to owner requests.
- Support leasing and marketing efforts: greet prospective residents, gather prospect information via Guest Card, show ready apartments and models, close and obtain lease deposits, and assist with rental applications and credit verification.
- For California only: Review all completed move-in files prior to submission to the Community Manager for review and approval.
Requirements
- Bachelor’s degree in Business Management, Communications, or related field preferred.
- 1–3 years of relevant experience in residence life and/or property management, demonstrating community management, sales, marketing, and customer-service skills sufficient to assist in managing day-to-day operations, resolve customer complaints, complete financial records, increase sales revenues, and coordinate team work.
- Understanding of lease terms and lease enforcement, including collections.
- Excellent written and verbal communication skills.
- Detail-oriented and self-motivated with the ability to work independently and collaboratively.
- All required State and Local licenses and/or certifications.
- Valid driver’s license to drive a golf cart on property.
- Proficiency in Internet, word processing, spreadsheet, and database management programs.
- Strong proficiency in property management software (Yardi, OneSite, Entrata, etc.).
Physical Demands
- Work in an office environment with frequent exposure to outside elements (temperature, weather, odors, and/or landscape) that may be unpleasant and/or hazardous.
- Physically access all exterior and interior parts of the property and amenities.
- Push, pull, lift, carry, or maneuver weights of up to 20 pounds independently and 50 pounds with assistance.
- Routine local travel to make bank deposits, attend training, or accomplish daily responsibilities.
- Rare or occasional travel to attend business meetings or training programs.
Pay
Hourly range: $20.00 – $22.00. Additional compensation may include weekly, monthly, or quarterly bonus programs based on individual and company performance.
