About the Role
We are seeking a full-time Assistant Community Manager to support the Community Manager in all phases of property operation, including general property administration, leasing, maintenance, and property operations. The role aims to maximize occupancy levels and property values.
Responsibilities
- Conduct all business in accordance with company policies, Fair Housing, ADA, Fair Credit Reporting Act, and other relevant laws.
- Assist in preparing monthly variance reports and other financial reporting as required.
- Support the development, communication, and monitoring of property budgets to meet financial expectations.
- Assist in developing annual operating budgets for assigned properties.
- Perform special projects and duties as assigned by the supervisor.
- Prepare contract documents, resident welcome packages, and accounting adjustment forms.
- Prepare move-out reconciliation forms for approval and remove vacating residents from the system.
- Maintain the securities access system, issue security/access cards, and update resident contact and emergency information.
- Handle resident requests, concerns, and comments via phone or in-person visits; complete maintenance service requests promptly.
- Follow up on resident matters and ensure maintenance repairs are handled satisfactorily.
- Maintain open communication with the Community Manager and Maintenance Supervisor.
- Contribute to the cleanliness and curb appeal of the community.
- Assist in planning and hosting resident functions.
- Enforce community policies and prepare resident rent increase letters monthly.
- Prepare and review weekly Accounts Receivable Reports; initiate late fee charges as appropriate.
- Manage and investigate lease payment discrepancies; reconcile monthly rental income and related data.
- Conduct monthly market surveys and provide trend reports; shop competition to stay aware of market conditions.
- Welcome and show property to prospective residents; handle inquiries via phone, email, and text.
- Maintain awareness of industry trends through trade publications and professional organizations.
- Perform additional duties as assigned by the Community Manager.
Requirements
- High School Diploma or equivalent (college degree or coursework desirable).
- Prior property management experience preferred.
- Certified Apartment Manager (CAM) certification preferred but not required.
- Strong customer service and sales skills.
- Ability to work in a fast-paced, customer service-oriented environment and meet deadlines under pressure.
- Understanding of computer systems, web applications, and software.
- Ability to work as part of a team and independently with high flexibility.
- Excellent organizational, presentation, interpersonal, written, and oral communication skills.
- Proven ability to build and maintain relationships in an outgoing and friendly manner.
