About the Role
The Assistant Community Manager supports the Community Manager in the overall operation of the property, handling rent collection, resident delinquencies, evictions, legal notices, and accounting processes.
Responsibilities
- Maintains all accounts receivable, including collecting and posting rent, making daily bank deposits, and ensuring a balanced, accurate rent roll.
- Completes daily, weekly, and monthly financial and leasing reports, including month-end pre-close, closeout, market surveys, and lease expiration matrix.
- Audits records and files to identify administrative action dates, such as lease expirations, delinquent accounts, and unlawful detainers.
- Collects delinquent account balances from previous residents.
- Processes evictions, including all necessary paperwork, serving notices, and attending court hearings.
- Leases apartments as needed and shops competitive properties.
- Manages and creates engaging social media content across various platforms.
- Inspects buildings and grounds for safety and cleanliness, alerting Maintenance to needed repairs.
- Processes move-ins, move-outs, and lease renewals.
- Audits all new and current lease agreements and resident files for accuracy.
- Assists the Community Manager with staff training on leasing, marketing, maintenance, and general office operations.
- Composes and prepares routine correspondence, rental notices, and other letters and memorandums.
- Assists in resident relations and problem resolution.
- Assists with Timecard submission and resident retention, including planning and organizing social events.
- Assumes responsibility for property operations in the absence of the Community Manager.
- Participates in company-provided training on fair housing, safety, non-discrimination, and harassment prevention.
Requirements
- Ability to read, write, understand, and communicate in English.
- Proficiency with personal computers, email, Microsoft Word, Excel, and on-site accounting software (e.g., Entrata).
- Experience using general office equipment, such as telephones, fax machines, printers, copiers, 10-key, and key track systems.
- Excellent customer service and interpersonal skills; ability to relate to others.
- Strong organizational, time-management, and multi-tasking abilities.
- Ability to perform basic to intermediate mathematical and accounting functions.
- Understanding of federal fair housing laws and applicable local housing provisions.
- Ability to analyze and resolve problems, make quick and effective decisions, and manage difficult situations involving angry or upset individuals.
- Sales skills, including the ability to close a sale.
- Leadership abilities, including managing and training a team, setting and meeting goals, and meeting deadlines.
- Flexibility, creativity, and ability to maintain confidentiality.
- Valid driver’s license, automobile insurance, and ability to drive.
- Real estate license (if required by state) and any other state-mandated licenses or certifications.
- Professional appearance and compliance with prescribed uniform policy.
- Regular and consistent attendance; overtime may be required.
- Availability via phone or pager at all times, except during approved time off.
- Ability to work weekends, non-traditional holidays, and on-call as needed due to staffing shortages.
- Some travel may be required.
Physical Demands
- Standing, walking, and/or sitting for extended periods.
- Frequent climbing, reaching, use of fingers, talking, and hearing.
- Moderate pulling and recurring movement of fingers, hands, wrists, legs, and feet.
- Pronounced visual acuity (near and far) and field of vision, including the ability to judge distances and spatial relationships and distinguish colors.
- Ability to lift and/or move up to 50 pounds.

- Ability to compare, copy, compute, compile, analyze, coordinate, synthesize, negotiate, communicate, and instruct.
- Ability to work under minimal to moderate supervision and tolerate stressful situations.
Work Environment
- Exposure to hot, cold, wet, humid, or windy conditions (temperatures may vary by region).
- Exposure to noise, vibrations, atmospheric conditions, and confined or restricted spaces.
- Potential hazards include communicable diseases, aggressive individuals, chemicals, electrical shock, heights, mechanical parts, fire, and radiation.
