About the role
This role provides essential administrative and clinic support in a fast-paced outpatient urology environment. The individual will work closely with providers, nurses, and clinic staff to support daily operations and patient care.
Work schedule
Monday–Friday, 8:00 AM–4:30 PM; up to 24 hours per week. On-site with potential to move to a hybrid schedule in the future.
What success looks like
- At 3 Months: Working independently with mentor support; understanding clinic workflows and priorities
- At 6 Months: Fully independent in assigned responsibilities; confidently managing daily administrative and clinic tasks
- At 12 Months: Independently handling responsibilities while expanding skills; taking on new tasks; identifying opportunities and making recommendations for process improvements
Key responsibilities
- Making pre-operative reminder calls for clinic cultures
- Locating and managing clinic images and documentation
- Providing administrative support to the Riley Urology Clinic
- Assisting providers, nurses, and clinical team members as needed
- Performing additional tasks as assigned to support clinic operations
- Managing priorities effectively in a busy clinical setting
Skills & qualifications
- Highly organized, reliable, and responsive
- Strong team player who works well with clinical and administrative staff
- Ability to identify issues and prioritize tasks based on urgency and importance
- Medical Assistant (MA) experience or medical office experience is a plus
- Comfort working in a fast-paced, patient-focused environment
Administrative support functions
- Provides basic administrative and technical support to leaders and teams
- Manages calendars, schedules, and meeting coordination
- Coordinates travel arrangements when applicable
- Processes invoices and handles routine inquiries
- Addresses basic administrative and technical issues with general guidance
Required qualifications
- High School Diploma or GED required
- 0–3+ years of relevant experience required; previous administrative experience preferred
- Basic proficiency with Microsoft Office applications, including Word, PowerPoint, and Excel
- Ability to work effectively in a fast-paced, complex, and matrixed organization
- Strong organizational skills with the ability to manage multiple priorities
