Assistant Account Manager - Patient Engagement

Job Summary: The Assistant Account Manager (AAM) supports the Account team on day-to-day business operations and deliverables, including setting up internal and external meetings, conducting status meetings, project workflow, quality control, and management of Medical, Legal, and Regulatory (MLR) processes.

Responsibilities

  • Account Support
    • Supports activities related to all programs and projects on assigned client account(s), including planning meetings, status meetings, partner agency coordination, workflow, timeline oversight, and management of MLR processes.
    • Proactively flags and helps problem-solve issues related to client needs, workflow, budget, timeline, or scope changes.
    • Maintains up-to-date meeting minutes, trackers, and reports for internal use and provides client updates on ongoing projects and deliverables.
    • Demonstrates in-depth knowledge of each client account, including brand, therapy area, and overall scope.
    • Works with clients to provide updates on ongoing projects and deliverables.
  • Tactics and Execution
    • Prioritizes workflow to ensure timely delivery of all projects, considering the necessary skillsets for each brief.
    • Supports briefing processes to ensure all briefs are high-quality and ready on time.
    • Reviews tactics and provides clear, concise feedback to ensure deliverables meet brief requirements.
  • Cross-functional Collaboration
    • Fosters integration, collaboration, and teamwork among team members.
    • Manages freelancer and external agency bookings, maintains relationships, and tracks availabilities.
  • Business Development
    • Demonstrates a clear understanding of the new business process and supports teams with administrative tasks.
    • Develops ideas for organic growth of accounts.
  • Financial Oversight
    • Attends finance calls and provides accurate overviews of project finances.
    • Develops financial paperwork such as invoices and estimates.
    • Manages client financial trackers and shares status updates with senior account management, proactively flagging risks related to over-servicing or out-of-scope work.

Requirements

  • Bachelor’s degree in business, marketing, communications, biology, life sciences, or a related field.
  • Significant experience in professional client relationship management; background in biopharmaceutical patient marketing (client or agency side) is a plus.
  • Ability to organize, plan, and prioritize work in a fast-paced environment while achieving goals in a timely fashion.
  • Excellent organizational, multitasking, and attention-to-detail skills.
  • Strong written and oral communication skills, with a commitment to delivering high-quality work.
  • Superior interpersonal and customer service skills.
  • Proficiency in MS365 (Word, Excel, PowerPoint, Outlook, Teams); knowledge of Veeva is a plus.
  • Ability to make clear, concise decisions and solve complex problems.
  • Strength in fostering and maintaining productive partnerships with clients and internal teams.
  • Excellent listening and presentation abilities.
