The Role
As an Appointment Setter, you will serve as the first point of contact for prospective clients, qualifying leads, scheduling consultations, and ensuring all prospects are prepared and on time. Your work directly impacts the client experience and drives revenue for the company.
What You'll Do
- Schedule and coordinate qualified sales appointments, ensuring proper prep and a clean handoff to the sales team.
- Qualify leads by assessing readiness, fit, and urgency using defined criteria before scheduling.
- Act as a gatekeeper for senior sales calls, ensuring only qualified, prepared prospects are scheduled.
- Confirm and follow up with leads via phone, email, and text to drive high show rates and reduce no-shows.
- Manage and optimize appointment calendars for maximum scheduling efficiency.
- Own lead status accuracy, notes, and deal flow hygiene in our CRM (Attio).
- Surface recurring objections, lead quality issues, and intake friction to the sales and operations team.
- Identify opportunities to upsell or cross-sell and route them to the appropriate sales team member.
- Collaborate closely with the sales team to ensure leads are properly tracked and serviced.
What We're Looking For
- Strong spoken English fluency required; this role involves daily phone calls with US-based clients.
- Clear, concise, and professional written English across email and text.
- Strong judgment and confidence declining or redirecting unqualified leads.
- Comfortable enforcing intake, qualification, and scheduling standards without escalation.
- Detail-oriented with strong follow-through and system discipline.
- Familiarity with CRM and scheduling tools is a plus (we use Attio, Calendly, Google Calendar, Front, and Notion).
- Data-aware and outcome-oriented, with attention to show rates, lead quality, and scheduling efficiency.
- Bonus: Experience in sales intake, lead qualification, or appointment setting in a high-volume environment.
- Bonus: Familiarity with the medical education space (pre-med, medical school, residency) is preferred but not required.
Success in This Role Looks Like
- Strong conversion from initial inquiry to scheduled, qualified sales appointments without degrading lead quality.
- High show rates and low no-shows driven by proactive confirmation and expectation-setting.
- Possibly warm re-engagement with qualified but not-yet-ready leads, without cluttering senior sales calendars.
