About the role
The Ambulatory Access Coordinator is responsible for managing all aspects of the outpatient admissions process, ensuring a seamless transition from referral to scheduled appointment. This position plays a vital role in patient access by verifying insurance coverage, obtaining authorizations, confirming orders, and coordinating with clinic staff to support timely and accurate patient onboarding. The Coordinator upholds the highest standards of professionalism, accuracy, and customer service while contributing to departmental efficiency and organizational growth.
Responsibilities
- Process incoming referrals by verifying completeness, accuracy, and payer requirements prior to giving scheduling approval.
- Conduct insurance eligibility and benefit verification, including deductible, copay, and authorization requirements.
- Obtain insurance authorizations as required.
- Communicate effectively with patients, clinics, and referring providers to confirm appointment details and resolve access-related issues.
- Accurately document all actions taken within the EMR, tracking systems, and payer portals to maintain transparency and compliance.
- Collaborate with the Lead Ambulatory Access Coordinator and peers to ensure daily workloads and turnaround expectations satisfied.
- Monitor and follow up on pending authorizations and referrals to prevent delays in patient care.
- Maintain knowledge of payer guidelines, departmental policies, and changes in authorization requirements.
- Support departmental initiatives related to efficiency, quality, and patient satisfaction.
- Protect patient confidentiality and ensure compliance with HIPAA and organizational standards.
- Maintain the highest level of customer service via courtesy, compassion and positive communication.
- Promote the mission and vision of PAM Health within the work environment and the community.
- Respect dignity and confidentiality by adherence to all applicable policies and procedures.
- Work in a manner that promotes safety; wear clothing appropriate to the performance of the job.
- Participate in OSHA required training.
- Follow universal precautions as appropriate for position; comply with Employee Health requirements for continued employment.

- Know own role in case of an emergency.
Qualifications
- High school diploma or equivalent required.
- Minimum of 2 years of experience in patient access, outpatient admissions, medical office coordination, or related healthcare role.
Skills
- Working knowledge of insurance verification, authorization processes, and EMR systems.
- Excellent verbal and written communication abilities.
- Strong communication, critical thinking, attention to detail, organizational, and problem-solving skills.
