About the Role
The Airfreight Import Export Coordinator manages the transportation and compliance of outbound shipments from pickup to customer billing, ensuring service commitments are met and company objectives achieved.
Responsibilities
- Analyzes service failures across multiple departments and escalates findings to ensure timely resolution and preventative measures (e.g., billing discrepancies, claims, delays).
- Assigns tasks to internal departments based on request nature.
- Confirms shipment-level profitability and escalates loss-making or low-margin shipments to supervisor.
- Controls commercial documentation required for export/import declarations and regulatory compliance (AES, DPS, Hazmat, AMS).
- Prepares house airway bill pouch and labels.
- Processes external billing based on quotations, contract rates, and standard tariffs; verifies additional charges (e.g., trucker waiting time).
- Handles export compliance, including Denied Party Screening and AES filing.
- Initiates shipment processing, confirms destination leg routing, and tracks events.
- Ensures customers are properly set up in the company CRM system (e.g., POA, credit application, billing profiles).
- Sets up estimated cost and revenue charges based on customer quotations or contract rates.
- Sends customer pre-alerts after confirmed arrival at the final port of discharge.
- Ensures all commercial documentation for import customs clearance is available and coordinates discrepancies with internal/external parties.
- Pays terminal charges and confirms AMS information and customs clearance status.
- Schedules and monitors airport transfers and requests delivery to the final consignee.
- Creates broker arrival notices for internal or external brokers.
- Completes customer and intercompany billing and coordinates billing discrepancies.
- Archives all shipment-related documents.
- Contributes to department procedure implementation to maximize productivity.
- Confirms availability and validity of customer spot or contract rates, including routing, and directs rate inquiries to the pricing department when applicable.
- Monitors, assigns, and ensures resolution of accounts payable issues within area of responsibility.
- Identifies and communicates potential customer leads to Sales.
- Performs credit checks prior to arranging transportation.
- Performs other duties as assigned.
Requirements
- Associate’s Degree (A.A.) from a two-year college or equivalent combination of education and work experience (High School Diploma or GED accepted).
- One to three years of previous experience in the freight forwarding industry preferred.
- Completion of any industry-related course is an asset.

- Knowledge of world geography, shipping documentation, and Incoterms preferred.

- Ability to calculate figures such as freight rates, discounts, and percentages.
Physical Demands
- Frequently required to stand and walk.
- Regularly required to sit for extended periods.
- Regular use of arms to reach, hands, and fingers for computer and phone use.
- Speaking clearly and listening for heavy phone contact.
- Requires close-up and computer screen distance vision ability.
Work Environment
The work environment is similar to a typical office setting with various office equipment.
Pay
Base compensation range: $31.00 to $33.65 per hour. Salary determination considers skills, experience, job location, internal pay equity, and job architecture.
