AI Program Manager
About the role
We are seeking an AI Program Manager to coordinate AI-related projects across internal teams such as Finance, Product, and Customer Success. This is a hands-on, execution-focused role responsible for keeping AI initiatives on track—planning, scheduling, and driving projects to completion, and helping teams build their own AI skills along the way. You will be the day-to-day point of contact who keeps cross-functional Agentic work moving, surfaces risks early, and ensures teams have the information they need to make decisions.
This role coordinates the people and projects that put AI to work across the business; it does not involve hands-on development of AI models or applications (e.g., RAG pipelines, LLM development). You will apply core program and project management practices—scoping, scheduling, risk tracking, status reporting, and stakeholder communication—to a portfolio of related AI initiatives owned by business teams, ensuring individual projects ladder up to shared program goals, and you will identify, propose, and lead projects that help advance the organization toward becoming an agentic-first operational organization.
Responsibilities
- AI Project Tracking & Coordination
- Maintain an up-to-date tracking of active AI projects across business teams (e.g., Finance, Product, Customer Success), including status, timelines, dependencies, and owners
- Support intake and scheduling of new AI project requests from business teams; help prioritize work based on direction from project sponsors and leadership
- Track resource needs across AI projects and flag scheduling conflicts to the relevant business leads and managers
- Organize and run regular status check-ins and working sessions with project teams
- Identify and sequence dependencies across projects within the program, flagging where one project's timeline or output affects another
- Prepare status summaries and materials for leadership review of project progress and risks
- Program Execution & Tools
- Apply project management practices—project plans, timelines, RAID logs, and status templates—to AI initiatives led by business teams
- Maintain templates, trackers, and runbooks for common types of AI projects (e.g., workflow automation, agentic tooling rollouts) to keep execution consistent
- Support day-to-day collaboration between business stakeholders and any technical partners involved in a project; clarify roles, timelines, and next steps
- Onboard project team members to established tools and processes; answer process questions and provide day-to-day coaching
- Risk & Issue Tracking
- Log and track project-level risks and issues (e.g., delays, resourcing, adoption barriers) and follow up on assigned mitigation actions
- Coordinate with security, compliance, and legal teams to schedule any required reviews and confirm approvals are completed on time
- Track completion of required checkpoints (e.g., data access approvals, tool onboarding, training) ahead of project milestones
- Maintain checklists confirming projects have completed necessary internal review steps before key milestones
- Skill Development & Enablement
- Partner with business teams (Finance, Product, Customer Success, and others) to assess AI skill gaps and coordinate training, tools, and resources to close them
- Track individual and team progress on AI upskilling plans; maintain a simple skills/readiness tracker across groups
- Maintain a shared knowledge base of AI project templates, playbooks, and FAQs for use by other teams
- Document lessons learned and best practices from completed projects; share broadly to support future initiatives
- Cross-Functional Coordination & Integration
- Serve as the day-to-day point of contact between AI project teams and business stakeholders across Finance, Product, Customer Success, and other groups
- Track and follow up on dependencies and handoffs between AI projects and related initiatives
- Schedule and support cross-functional working sessions; take notes, track action items, and follow up to closure
- Relay updates between teams to keep everyone aligned on progress
- Status Reporting & Metrics
- Maintain dashboards and trackers showing project status, milestones, and key metrics across the AI project portfolio
- Compile regular status reports summarizing progress, risks, and blockers for stakeholders and leadership
- Maintain a program-level roadmap and recurring cross-project sync so reporting reflects how individual projects fit into the broader AI program
- Track adoption and usage metrics for completed AI and agentic-workflow initiatives
- Flag emerging risks or delays proactively so leadership and sponsors can make timely decisions
- Agentic-First Initiative Development
- Identify opportunities within business teams to introduce agentic workflows or AI-assisted processes; propose and scope candidate projects
- Take ownership of select projects end-to-end, from proposal through execution, that advance the organization's shift toward an agentic-first operating model
- Identify recurring process bottlenecks and suggest practical improvements to project tracking and coordination
- Share feedback and status updates with program leadership to support broader AI portfolio planning
Qualifications
- 4–5+ years of experience in program or project management, coordinating cross-functional business or technology projects
- Experience managing a portfolio or program of related projects, not just a single project at a time
- Experience coordinating projects with business teams such as Finance, Product, or Customer Success
- Working knowledge of project management tools (e.g., Jira, Asana, Smartsheet) and practices (timelines, RAID logs, status reporting)
- Basic familiarity with AI and agentic tools and workflows, sufficient to coordinate projects and support team upskilling (no hands-on model-building experience required)
- Experience supporting training, upskilling, or change-management efforts within a business team
- Strong organizational skills and ability to manage multiple concurrent workstreams and deadlines
- Clear written and verbal communication skills; comfortable coordinating across technical and non-technical stakeholders
- Detail-oriented with strong follow-through on action items and deliverables
Nice to Have
- PMP or similar project management certification
- Experience with change management or training program coordination
- Familiarity with agentic AI tools or workflow automation platforms
- Experience with compliance or governance tracking processes
- Exposure to Agile/Scrum project delivery methods
- Experience in fast-growing organizations undergoing AI adoption
Pay
$120,000 – $150,000 plus 20% bonus
