Admission Processing Coordinator (Administrative Support Coordinator I)
About the role
The Admission Processing Coordinator (Administrative Support Coordinator I) plays a critical behind-the-scenes role in supporting the admissions process at San Diego State University. As part of the First-Year Admissions Processing team, this position helps ensure that thousands of student applications, transcripts, and academic records are processed accurately, efficiently, and in accordance with university, CSU, and state requirements.

- Coordinate admission record processing and workflow activities, including the prioritization, tracking, compilation, and distribution of applicant records, transcripts, admission appeals and supporting documents to ensure timely review and processing.
- Review and resolve applicant data discrepancies related to personal information, identification records, and application details by conducting research, updating student information systems, and collaborating with staff and applicants.
- Process and evaluate admission documents, including transcripts, test scores, educational evaluations, and other academic credentials to determine document authenticity, completeness, and proper record matching.
- Maintain accurate student records and application data by performing corrections, status updates, document indexing, and archival activities within student information and imaging systems.
- Provide responsive applicant support and communication, addressing document requests, application status inquiries, fee waiver requests, and admissions-related questions with professionalism and clarity.
- Generate and monitor operational reports and workflows, utilizing student information systems, CRM platforms, and external databases to track application processing, identify issues, and support admissions decision-making.
- Troubleshoot admissions processing issues and coordinate resolutions, working across systems and departments to address challenges impacting application review, document processing, and overall admissions operations.
Qualifications
Demonstrated ability to manage high-volume workloads under strict timelines, while maintaining exceptional accuracy, attention to detail, and productivity. Experience reviewing, processing, and maintaining complex records or documents where accuracy, consistency, and compliance are essential. Strong organizational skills with the ability to prioritize competing deadlines, manage multiple workflows, and adapt quickly to changing priorities and operational needs. Ability to identify discrepancies, research issues, and resolve errors using sound judgment, established procedures, and attention to detail. Experience working with databases, student information systems, CRM platforms, or other systems used to manage and track large volumes of information. Strong communication and collaboration skills, with the ability to work effectively as part of a team and build productive working relationships across functional areas. Demonstrated flexibility, initiative, and problem-solving skills in a fast-paced environment where priorities and workloads may shift throughout the admissions cycle. Demonstrated reliability, accountability, and commitment to maintaining confidential and sensitive information. Knowledge of office operations, business processes, and administrative best practices, with a commitment to providing excellent customer service and support.
