Job Summary

As an Administrative Support Specialist-Field Operations, you will support the Field Operations department in a broad and advanced administrative capacity, providing exceptional service to internal and external customers.

Responsibilities

  • Create and maintain a positive customer service approach and establish credibility, trust, and support with internal and external contacts in all aspects of work.
  • Communicate effectively and professionally in all forms of communication with internal and external customers.
  • Successfully manage reporting, office activity, documentation, and filing system.
  • Function as an effective team member; support the efforts and concepts of other departments.
  • Effectively cross-train to meet customer demand.
  • Accurately code and process invoices in a timely manner.
  • Provide detailed record keeping and meeting notes.
  • Provide guidance, direction, and information to team members and leadership regarding specific situations that may arise.
  • Direct routing of confidential documentation to completion; keep confidential information private.
  • Produce detailed reports in various areas.
  • Aid in preparation, payment, updates, renewal, or termination of Contractor Agreements, Facility Leases, and Non-Disclosure Agreements.
  • Manage office functions and equipment.
  • Cook up meetings, team member engagement activities, and travel reservations.
  • Represent Midco by actively seeking out volunteer and community involvement opportunities.
  • Model Midco’s mission, vision, values, ethos, and Leadership Success Drivers, and inspire others to do the same.
  • Ensure customer privacy by adhering to Midco’s privacy guidelines while actively following Midco policies and procedures.
  • Maintain reliable and predictable attendance as required by the position.
  • Perform other duties as assigned.

Required Qualifications

  • A high school diploma or equivalent (GED).
  • Familiarity with office software (e.g., Microsoft 365), scheduling tools, and communication platforms.
  • Experience in a service, support, or people-focused role, including assisting individuals, addressing questions or concerns, and delivering a positive and helpful experience.

Preferred Qualifications

  • An associate’s degree or vocational training in a related field.
  • One year of experience in administrative support.
