InterDent is seeking a highly organized and detail-oriented Administrative Support Specialist to assist with day-to-day administrative activities across our corporate and practice-support operations. This position may support a remote work arrangement depending on business and position requirements.

About the Role

The Administrative Support Specialist will communicate with team members across different departments, manage multiple priorities, and contribute to efficient workflows while maintaining professionalism, confidentiality, and attention to detail.

Responsibilities

  • Provide administrative and clerical support to corporate and practice-support teams.
  • Prepare, organize, scan, file, and maintain electronic and physical documents.
  • Enter, update, and verify information in internal systems and databases.
  • Coordinate meetings, calendars, correspondence, and routine administrative activities.
  • Prepare spreadsheets, reports, presentations, and other business documents.
  • Monitor administrative requests and ensure tasks are completed within established deadlines.
  • Respond to internal inquiries and direct requests to the appropriate department.
  • Assist with scheduling, recordkeeping, data verification, and document management.
  • Maintain confidentiality when handling employee, patient, financial, and company information.
  • Communicate effectively with colleagues across departments and locations.
  • Support remote administrative workflows and maintain timely communication with distributed teams.
  • Identify opportunities to improve administrative procedures and workflow efficiency.

Requirements

  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • Previous experience in administrative support, office administration, customer service, healthcare administration, or a related field.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Proficiency with Microsoft Office, particularly Word, Excel, Outlook, and Teams.
  • Strong written and verbal communication skills.
  • Ability to handle confidential information professionally.
  • Ability to prioritize multiple assignments and meet deadlines.
  • Ability to work independently and collaboratively in a remote environment when applicable.
  • Reliable internet connection and appropriate workspace for remote work, if required.

Bonus Points

  • Experience supporting healthcare, dental, or multi-location organizations.
  • Familiarity with electronic health records, practice-management, CRM, or ERP systems.
  • Experience with document control, data entry, scheduling, or records management.
  • Advanced Microsoft Excel skills.
  • Experience coordinating projects or supporting cross-functional teams.
  • Previous experience working with remote or geographically distributed teams.
  • Knowledge of HIPAA and healthcare information privacy practices.
