Job Description
Processes incoming daily mail and packages. Opens, sorts, logs and delivers mail to designated mail location within each section.
Processes outgoing mail using mail machinery to print, fold, stuff, seal and another mailroom machinery as needed.
Delivers bulk mail to appropriate designated pick-up /drop-off point.
Notifies manager of mechanical problems which impacts timely mail processing.
Maintains the mail room in an orderly and tidy fashion.
Moves empty and unneeded boxes to the area by the freight elevators daily.
Stores two-wheelers, dollies and other moving equipment out of the way of mail room users when not needed.
Makes occasional pick-up and delivery of mail and/or packages to and from outside offices (including the State House, Office of the Attorney General and the Secretary of State's Office) within walking distance (up to one mile) of Division headquarters.
Answers and routes incoming inquiries as required and assist in-person visitors during the standard hours of operation from 8:45 a.m. to 4:45 p.m.
Sureties that all agency departments have continuous adequate supply of copy paper and envelopes and deliver new stock as needed using wheeled handcart or dolly.
Performs copying, scanning and other special projects as directed.
Daily review of assessments and accounts payable Outlook mailboxes; processes incoming email correspondence as directed.
Required / Desired Skills
- MS Office – Required – 3 years of experience
- Attention to detail and organizational skills – Required
- Mailroom experience – Highly desired
- Strong written and verbal communication with confidentiality – Required
- Strong problem-solving skills and strong interpersonal communication – Required
- Ability to navigate minor technology related to mailroom machinery – Required
