Administrative Supervisor

About the role
As an Administrative Supervisor, you will provide leadership and management to administrative functions and ensure that services are provided within professional standards. Administrative functions supported may include front office, scheduling, insurance, health information, and teleradiology.
This position is full-time, working Monday - Friday 8:30am - 5:00pm.
Responsibilities
- Staff and Department Supervision (45%)
- Establish associate schedules to provide for planned time off, ensuring appropriate staffing levels and adequate center coverage
- Monitor and approve timecards
- Manage hiring process for new team members in partnership with HR
- Implement training program for new associates
- Initiate and participate in staff performance evaluations, compensation, and development of associates, including performance improvement plans, disciplinary actions, and/or terminations
- Lead regular staff meetings and employee one-on-ones
- Evaluate workflow and implement process improvements for the team
- Ensure team has knowledge of company and department policies and corresponding procedures are in place
- Support associates to ensure the highest level of patient satisfaction
- Foster a team environment, ensuring appropriate communication between departments
- Create and update the center's information manuals and process documents
- Develop and monitor the teams' performance through QA process
- Lead special projects and/or committees, as assigned
- Registration, Scheduling, Insurance, Health Information, and/or Teleradiology (45%)
- Answer phones and handle calls in an efficient and friendly manner
- Act as liaison between technologists and patients waiting for exams, relaying messages regarding scanner status and other clinic information
- Coordinate patient relations, ensuring quality service is delivered
- Maintain front office operations such as ordering office supplies, magazines, organizing coffee and office supplies, and assisting with office cleaning
- Fax reports, billing requests, and medical release forms as requested
- Ensure performance of daily center banking functions, including accurate completion of daily cash logs, bank deposit, and all receipts
- Schedule patient examinations
- Communicate daily with technologist(s) and radiologist(s) on administrative matters
- Maintain an accurate and up-to-date pending-scheduling list
- Check all exams for pre-certification with the patient's insurance company
- Use knowledge of insurance carriers (e.g., Medicare) and procedures that require waivers to obtain authorization if needed prior to appointment
- Assist in the maintenance of up-to-date and accurate database functions on all current and potential referring physicians
- Pre-certify all exams with the patient's insurance company as required
- Verify insurance for same-day add-ons
- Obtain proper authorization for procedures requiring waivers prior to appointment
- Other Duties (10%)
- Perform other duties as assigned
Requirements
- High school diploma or equivalent
- Microsoft Office Suite experience
- Proficient with using computer systems and typing
- Must be able to handle a multi-level phone system with a high volume of calls at one time
Qualifications
Preferred qualifications include:
- Associate's degree
- Medical terminology and previous clinical business office experience
- Bilingual
