Responsibilities

  • Organize and prioritize work assigned and develop office procedures to adequately support efficient workflow.
  • Compose correspondence, reports, documents, and statistical data; often of a confidential nature.
  • Process incoming phone calls and correspondence as instructed and prepare responses to routine calls and correspondence independently.
  • Complete assignment(s) in pressure situations with competence and by required deadline(s).
  • Maintain an efficient tracking system designed for minimum retrieval time of requested ECSE data counts.
  • Proofread/edit documents using proper spelling, punctuation, grammar, and sentence structure.
  • Cookordinate departmental projects and implement all relevant components using excellent organizational skills.
  • Cookordinate and follow up with other district staff ensuring completion of projects involving multiple individuals and/or extended periods of time.
  • Maintain a calendar for the Early Childhood Special Education Supervisor/Administrator.
  • Schedule appointments, initiate travel arrangements and prepare itineraries.
  • Prepare materials for meetings and professional learning sessions.
  • Determine status of office supplies, subscriptions and service contracts and prepare requisitions for the ECSE program.
  • Assist with the assembling, preparation and processing of invoices.
  • Track annual department expenditures to ensure the budget is not exceeded.
  • Monitor staff attendance and substitute coverage at the ECSE sites.
  • Respond courteously and tactfully to inquiries/complaints from District patrons and refer callers/visitors to appropriate District staff.
  • Prepare and submit monthly data reports to the ECSE Supervisor/Administrator.

Qualifications

  • Associate Degree with core studies in administrative, secretarial or executive secretarial field
  • Three (3) years secretarial experience

Preferred Qualifications

  • Bachelor’s degree

Physical Demands

  • Sit, stand, walk, speak, hear, use hands, fingers, reach with hands and fingers;
  • Bend, stoop, lift objects of at least ten pounds;
  • Visual ability requires mono and color vision.

Terms Of Employment

  • Length of work year: In person, 12 months (7.5 hours per day/5 days per week)
