Responsibilities

  • Type, proofread, and edit typed documents
  • Copy, scan, distribute, post, and/or file correspondences, reports, and memos
  • Prepare various documents (e.g., compose, type, obtain signatures)
  • Perform routine administrative duties (e.g., compose and respond to routine correspondence and verbal requests not requiring supervisor’s personal attention)
  • Produce typed copies of staff correspondence, schedules, logs, and responses
  • Research, retrieve, and enter data into DOTS Portal system or other applicable programs
  • Direct telephone inquiries from the public to the appropriate staff member
  • Input data entry into ORAS as needed
  • Maintain and provide documentation required by American Correctional Association Standards, Ohio Department of Rehabilitation and Correction Administrative Regulations, policies, and/or procedures
  • Interact with other departments to provide information and compile data
  • Receive, sort, review, and distribute all incoming/outgoing mail, correspondence, and directives
  • Schedule and provide clerical support for appointments, meetings, special projects, video in-reach, virtual hearings, and virtual funeral visits
  • Perform general clerical tasks (e.g., answer telephones, file, order supplies, maintain inventory, copy documents, maintain calendars and itineraries)
  • Review visiting applications for completeness and enter data into DOTS Portal System
  • Coordinate and ensure processing of routine tasks
  • Set up and maintain (e.g., organize, alphabetize, and file) correspondences, forms, and reports
  • Create new files and purge records in accordance with applicable retention schedules
  • Manage appointment schedules, notify personnel of schedules, and make arrangements for meetings
  • Provide clerical support to other offices as assigned
  • Serve on committees and attend meetings, seminars, conferences, and in-service training as required
  • Ensure work area is secure, clean, and orderly
  • Provide other related clerical support as required
  • Perform other duties as assigned

Requirements

  • One year of training or experience in secretarial science or business office applications
  • For positions requiring technical terminology: six months of training or experience in relevant technical terminology
  • Equivalent of the Minimum Class Qualifications for Employment noted above
