Administrative Coordinator II - GI Clinic
About the Role
This role focuses on providing administrative and business support to the organization to achieve operational goals, with a specific emphasis on Clinical Administration duties. Responsibilities include long-term strategic planning, identifying strategic issues and opportunities, prioritizing and tracking investments, allocating resources, and making decisions regarding practice growth to accomplish the practice's vision.
An experienced level role that requires basic knowledge of job procedures and tools obtained through work experience and may require vocational or technical education. Works under moderate supervision, handling routine problems with occasional need for interpretation or deviation from standard procedures.
Responsibilities
- Collaborates with leadership to continuously improve service outcomes impacting patient comfort by overseeing development and follow-through of improvement opportunities aligned with the hospital’s mission, vision, and scope of service.
- Oversees day-to-day functions related to service area(s), including budget compliance/payroll, staffing, scheduling, front desk operations, revenue capture, and prior authorization for patients based on insurance coverage.
- Acts as the primary point of contact for clerical needs, managing tasks such as timesheets, office supply and check requests, mail, billing of contractees, and developing, printing, and disseminating program fliers and family education packets.
- Works with clinical and administrative teams to develop comprehensive workflow processes, reviewing and improving efficiency as needed.
- Coordinates staffing patterns based on volume and needs, ensuring uninterrupted patient care and efficient workflows.
- Collects, analyzes, and makes decisions based on data and evidence-based statistics.
- Facilitates inter- and intra-departmental and external communication, including responding to and disseminating updates via letters, emails, and other methods.
- Conducts meetings for providers and staff to discuss new policies, procedures, and updates to enhance care delivery and resolve issues.
- Assists with and ensures departmental compliance with ACR/JCAHO/ACOS regulatory standards.
- Participates in Quality Improvement activities for strategic planning, accreditation preparation, and performance improvement plans.
- Participates in the interview process and assists in orienting new employees.
- Communicates progress to the management team regularly to ensure goals are achieved.
Requirements
- Two (2) years’ administrative experience.
Preferred Qualifications
- High school diploma or equivalent.
- Five (5) years’ administrative experience in a healthcare setting.
- Bilingual.
Skills & Abilities
- Computer literacy, including familiarity with word processing programs, electronic spreadsheets, and learning new applications.
- Excellent customer service skills, including strong interpersonal and telephone skills.
- High degree of tact for frequent interactions with patients, physicians, and insurance companies.
- Strong business skills, including understanding of healthcare expense, revenue, and reimbursement models and their impact on business plans.
- Ability to develop recommendations based on analysis and lead teams toward decisions.
- Excellent organizational skills with attention to detail.
- Proven administrative skills and experience.
- Ability to prioritize work and adapt to changing assignments.
Physical Requirements
- Frequent sitting, occasional standing or working, and lifting of 10-15 lbs.
- May be exposed to dust and other typical office-like discomforts.
- Manual dexterity for computer keyboard operation.
- Ability to see computer screens and read reports.
- Ability to hear instructions from physicians and other clinical or nursing staff.
Pay
The base pay range for this role is $24.65 - $30.82 per hour. Offers are determined using a comprehensive approach that considers relevant experience, certifications, education, skills, and internal equity to ensure fair and competitive compensation.
