Job Requirements
- Maintains calendar and schedule: Arranges meetings, notifies participants, prepares and distributes agendas, serves as recording secretary, prepares and distributes minutes, follows up as needed, reserves rooms, arranges for room set-up and equipment, maintains membership lists of assigned committees, maintains meeting records, handles travel arrangements.
- Prepares correspondence: Drafts letters, reports, statistical data, and memoranda, prioritizes work to meet deadlines, assists with special projects, compiles materials for submission or distribution, responds to various agencies.
- Provides front desk support: Receives visitors and callers, determines needs, prioritizes urgency, provides referrals, takes accurate messages, sorts and distributes mail, maintains organized filing system, ensures confidentiality of patient and employee information.
- Supports day-to-day operations: Maintains office supplies and equipment, exercises initiative and judgement, supervises office support staff, provides feedback on performance, completes annual performance reviews, issues disciplinary action when required, acts as liaison to Executive Council, Directors, employees, and others.
- Tracks time and expenses: Tracks expenses for clinical head, reconciles and processes monthly expenses, collects and maintains timelogs for physicians and employees, processes check requests.
Work Experience
- 2 - 4 years administrative/clerical support for mid- to upper-level management, preferably in a healthcare setting.
- 2 - 4 years proven ability to use independent judgement and function autonomously.
- 2 - 4 years working knowledge of medical terminology (preferred).
Education
- High School Diploma or GED (Required)
- 2 Year / Associate's Degree (Preferred)
- Combination of relevant education and experience may be considered in lieu of degree.
