About the role

The Administrative Coordinator is responsible for a variety of high-level clerical and administrative duties to support the Nursing, Surg-Tech, and Medical Imaging teams in DuBois and to ensure consistent and efficient operations in all DuBois programs.

Responsibilities

  • Accurately track and organize a variety of data for compliance and reporting purposes using Excel and/or Google Sheets.
  • Prepare signature-ready letters, revise handbooks and other procedural documents as assigned.
  • Communicate and correspond regularly with clinical sites and agency partners.
  • Assist with planning and coordination of special events and programs.
  • Maintain confidential files across all DuBois programs, including management of demographic information and ensuring that all required student and faculty documentation/licensure is current and accurately filed.
  • Assist with departmental website updates, gather and organize documentation for the academic appeals process, direct callers and visitors as appropriate, schedule meetings, and disseminate mail.
  • Enter budget requests, submit purchase requisitions, and place supply orders.
  • May interview prospective work-study students, and provide supervision to assigned students.

Qualifications

  • Bachelor’s degree and two (2) years of experience in executive or high-level administrative support roles required.
  • Previous experience working in a secondary or post-secondary education setting is preferred.
  • Equivalent combination of education and experience will be considered.
  • Above average verbal, written, interpersonal and organizational skills required.
  • Proficiency in Google Suite, Microsoft Office Suite, and AdobeSign required.
  • Advanced skills in Microsoft Word and Excel desired.
  • Demonstrated ability to prioritize, multitask, maintain attention to detail orientation, and excel in a fast-paced, high volume office with little to no supervision is required.
  • The successful candidate must be able to work collaboratively with others and exercise independent thinking.
  • Should be able to foresee risks and anticipate needs, and make sound decisions.
  • Ability to quickly and efficiently learn software that is highly utilized within the Higher Education space required.
  • A high degree of professionalism and a demonstrated ability to maintain high ethical standards and confidentiality is required.

Benefits

This is a full-time, year-round, benefit-eligible position. While some flexibility in scheduling exists, this position is on campus in DuBois, PA (5 days per week required), and is not eligible for remote work.

Through a new collaboration with Penn Highlands Healthcare, eligible nursing students may receive up to $48,000 in combined financial support, along with hands-on clinical opportunities and pathways to employment after graduation. Students can also apply for our radiography and surgical technology programs in DuBois, both of which are also in partnership with Penn Highlands Healthcare.
