About the Role

The Police Athletic League (PAL) of New York City, an independent youth development nonprofit, is seeking Administrative Assistants to support out-of-school time programming and provide excellent customer service to families and youth. This role is crucial in maintaining program quality by supporting frontline staff, site leadership, and PAL Headquarters in implementing back-office procedures. The position reports directly to the Deputy Director of Youth Employment and is based at the Edward Byrne Center in Queens, NY, starting October 1, 2026.

Responsibilities

  • Foster social and emotional competencies and mental and physical well-being in a safe, inclusive environment.
  • Plan and implement an efficient enrollment process to meet PAL’s target enrollment deadlines.
  • Create and maintain participant files aligned with SACC standards, including medical needs, IEPs, and support plans.
  • Ensure part-time staff are aware of students with IEPs and provide necessary support plans and logs.
  • Accurately enter attendance into PAL databases within established deadlines.
  • Answer questions from parents and staff, and coordinate with principals, directors, and headquarters for timely communication.
  • Ensure office procedures align with PAL’s strategic objectives, policies, and funding requirements.
  • Provide referrals for mental health services as needed, including time-sensitive situations.
  • Collect and analyze program data to drive data-driven recommendations.
  • Lead compliance processes for new hires and manage office supplies and equipment.
  • Hold an F07 or W07 fire emergency certificate and ensure safe monthly fire drills.

Requirements

  • Minimum of sixty college credits in administration or human resources.
  • Open to learning and growing, especially in mental health, SEL, and special needs inclusion.
  • Proficiency in Microsoft Office.
  • Minimum of 5 years of paid work experience in a nonprofit youth or social service agency in an administrative or managerial role.
  • Strong verbal and written communication skills and ability to work collaboratively.
  • Bilingual in Spanish, French, or Chinese preferred.
  • Ability to travel to any PAL location in the 5 Boroughs for professional development.

Pay

$23.00 per hour

Schedule

35 hours per week, Monday - Friday, with some evenings and weekends required.
