Qualifications
Required:
- Administrative medical office patient scheduling skills (minimum 1 year)
- Ability to maintain excellent relationships with internal and external customers
- Excellent verbal and written communication skills, including correct grammar usage
- Commitment to teamwork and collaboration
- Strong multi-tasking skills with the ability to prioritize tasks in collaboration with others
Preferred:
- Experience processing patient referrals and obtaining insurance authorizations
- Knowledge of medical terminology
- Experience using electronic medical record systems (e.g., Epic Information Systems Cadence/Referrals)
Typical Physical/Mental Demands
- Ability to work independently and collaboratively while maintaining a positive and professional attitude
- Highly skilled in prioritizing work demands, organizing time efficiently, and seeking assistance as needed
- Ability to handle stress from deadlines, multitasking, and frequent interruptions
- Physical ability to lift 25 pounds regularly and occasionally up to 50 pounds to assist customers
- Frequent walking/maneuvering in and around the building
- Proficiency in operating desktop devices, computers, scanners, phones, and other office equipment
Responsibilities
- Provide a high standard of customer service for clinic staff, physicians, and patients in a professional and courteous manner
- Support a collaborative and cooperative environment to facilitate mutual respect and effective interpersonal relations
- Demonstrate strong problem-solving and critical-thinking skills
- Review, research, and process incoming referral requests via multiple methods (EMR, fax, in-person, etc.)
- Manage EHR work queues as delegated by lead staff
- Verify insurance eligibility and benefits for referral purposes and scheduling
- Register patient accounts and audit/monitor information for accuracy to ensure proper billing
- Gather clinical data and payor criteria to submit authorization requests via various electronic mediums
- Schedule outpatient appointments using scheduling tools and department protocols
- Provide phone reception services, escalating issues to leads as needed
- Process paperwork in a timely manner per department and HIPAA policies (e.g., scanning, waitlists, progress notes)
- Utilize tracking systems with thorough documentation to promote team awareness and ensure patient safety
- Perform all job functions in a timely, efficient, and effective manner as part of the team
- Perform other duties as assigned
