Responsibilities

  • Answer phones, greet visitors, and serve as the primary point of contact for families and community members.
  • Maintain student attendance records and follow up with families regarding absences.
  • Prepare correspondence, reports, and other school communications.
  • Organize and maintain confidential student records and files.
  • Cook up schedules, meetings, and appointments for school administration.
  • Manage incoming and outgoing mail and monitor office supply needs.
  • Aid staff with copying, printing, and other administrative tasks.
  • Support the planning and coordination of school events, field trips, and special activities.
  • Provide assistance to students who come to the office for support throughout the school day.
  • Complete data entry and other record-keeping responsibilities as assigned.
  • Work collaboratively with public school districts regarding out-of-district placements, student enrollment documentation, and the collection, maintenance, and transfer of special education records in accordance with applicable regulations and confidentiality requirements.
  • Supervise students during lunch, recess, arrival, and dismissal as needed.
  • Provide classroom coverage when necessary to ensure continuity of programming and student supervision.
  • Perform other duties as assigned by the Executive Director.

Qualifications

  • Experience working in a school or educational setting preferred.
  • Candidates with a background in education, including experience as a paraprofessional, teaching assistant, substitute teacher, or other student-support role, are strongly encouraged to apply.
  • Experience working with student records, special education documentation, and communication with school districts is highly desirable.
  • Familiarity with Massachusetts special education processes and Chapter 766 out-of-district placements preferred.
  • Familiarity with Orton-Gillingham principles or experience working in a school serving students with dyslexia or language-based learning differences is preferred, but not required.
  • Strong organizational and communication skills.
  • Ability to multitask and prioritize responsibilities in a fast-paced environment.
  • Proficiency with Microsoft Office and general office technology.
  • Excellent interpersonal skills and a positive, team-oriented attitude.
  • Ability to maintain confidentiality and exercise sound judgment.
