About the role
The Administrative Assistant III position within the County Sheriff’s Office in Cambridge, MN is a part-time role, working 20-28 hours per week. The schedule is Monday through Friday, 8:00 a.m. to 4:30 p.m., with a full range of compensation expected between $25.50 - $32.93 per hour ($53,040.00 - $68,494.40 annually).
Responsibilities
- Receive, review, and process applications, renewals, and related documentation for Minnesota Permit to Purchase and Permit to Carry with a high level of accuracy and attention to detail.
- Conduct thorough background investigations and ensure compliance with state and federal requirements.
- Update and maintain accurate permit records within county, state, and law enforcement databases.
- Conduct required annual background checks on permit to carry holders in the County.
- Process permit fees and maintain accurate financial records in accordance with county policies.
- Respond to public inquiries regarding firearm permit procedures, requirements, eligibility, and application status.
- Prepare permit approvals, denials, renewals, void notices, and related correspondence.
- Maintain confidential criminal justice and applicant records in compliance with federal, state, and county regulations.
- Communicate with law enforcement personnel, courts, state agencies, and other government entities regarding permit-related matters.
- Perform records searches and retrieve information as requested by authorized personnel.
- Resolve suspense records for the Sheriff's Office by utilizing criminal history records, court records, and in-house records.
- Scan, file, and organize electronic and physical records.
- Stay informed of changes to Minnesota firearm laws, regulations, and permit requirements and Sheriff’s Office procedures.
- Afford general clerical support including assisting the public that come into the lobby, answering phones, processing mail, filing documents, and preparing reports.
- Process background requests from outside agencies.
- Perform other duties as assigned.
Requirements
- High School diploma or GED and moderate experience in oral and written communication, computer software applications and search engines, customer service, or equivalent combination of education and experience.
- Must possess and maintain a valid driver's license.
- Must pass a criminal history background investigation.
Special Qualifications
- Must meet and maintain all training and education requirements for position.
- May require possession of, or ability to obtain, specific licenses and/or certifications depending on departmental assignment.
Knowledge, Skills, And Abilities
- Knowledge of records department procedures, policies, and procedures.
- Knowledge of the Criminal Justice Information Services (CJIS) reporting system.
- Knowledge of the Minnesota Government Data Practices Act.
- Knowledge of English grammar, spelling, and usage.
- Knowledge of Minnesota Data Practices Act for release of information.
- Skill in operating a variety of office equipment.
- Ability to understand and follow oral and written instructions.
- Ability to make decisions in accordance with precedents and regulations and to apply these to work.
- Ability to multitask, prioritize, and complete duties in accordance with state statute timeframes.
- Ability to investigate, research, and analyze law enforcement data and court records.
- Ability to organize work efficiently.
- Ability to apply and explain pertinent policies, procedures, and regulations.
- Ability to maintain records and to prepare detailed reports.
- Ability to communicate, both verbally and in writing.
- Ability to accept responsibility, take initiative, and work independently to accomplish the goals assigned.
- Ability to provide effective, credible testimony in a court of law or other legal proceedings.
- Ability to maintain a regular and timely work attendance.
Physical Requirements And Activity
- Occasional exertion of up to 25 pounds of force.
- Work regularly requires speaking or hearing and using hands to finger, handle or feel.
- Occasionally requires standing, walking, sitting and reaching with hands and arms.

- Work has standard vision requirements.
- Vocal communication is required for expressing or exchanging ideas by means of the spoken word.
- Hearing is required to perceive information at normal spoken word levels.
Environmental Conditions
- Work has no exposure to environmental conditions.
- Work is generally in a moderately noisy location (e.g. business office, light traffic).
