Target hourly rate: $16.83. Full-time, non-exempt, bargaining unit position with American Federation of State, County & Municipal Employees (AFSCME). Standard work schedule (Monday–Friday, 8:00 AM–5:00 PM).

About the Role

The New Mexico State University Cooperative Extension Service is seeking a dependable and organized Administrative Assistant II to provide administrative and operational support for the Administrative and Program Unit in Taos. This position assists with day-to-day office operations, purchasing, financial and personnel processes, recordkeeping, correspondence, scheduling, and customer service.

Responsibilities

  • Perform a variety of administrative, finance, and staff support duties for the County Director, County Agents, and other office staff, requiring knowledge of Extension Office finances, Agents programs, and 4-H policies and procedures.
  • Answer phones, emails, and assist in-person customers visiting the office; direct clientele to the appropriate agent.
  • Disseminate information about upcoming events and other Extension programs to clientele and customers.
  • Communicate policy and procedures with Agents and office staff.
  • Assist 4-H members, volunteers, and parents with registration, project materials, and 4-H policies and procedures; track and manage 4-H enrollments.
  • Sort, screen, and distribute incoming mail.
  • Maintain the county website and social media platforms.
  • Resolve routine administrative problems and answer inquiries concerning departmental activities and operations.
  • Prepare finance documentation for payments, including utilities, agent travel, program activities, and office equipment.
  • Track county finance monthly for proper spending and reconciliation of the departmental procurement card.
  • Perform general administrative duties such as filing, typing, copying, binding, and scanning.
  • Order, stock, and distribute office supplies.
  • Establish, maintain, process, and update files, records, and other office documents.
  • Operate a personal computer to enter data, draft, edit, revise, and print letters, reports, and other materials.
  • Arrange meetings, conferences, interviews, and appointments; maintain calendars for staff.
  • Make travel and lodging arrangements, either directly or through a travel agency.
  • Assist staff members in preparation for programs.
  • Maintain computer and manual filing systems, including Civil Rights files and contact reporting.
  • Maintain office hours while agents are in the field delivering programs.

Requirements

  • High School diploma plus 1 year of relevant experience, or a higher degree.
