About the Role

Alafia River State Park is seeking a self-motivated park service professional for an OPS Administrative Assistant I position. The role involves providing visitor services and administrative support to the Park Manager and other park staff. The applicant must possess strong visitor service and administrative skills and be able to work independently when required.

Responsibilities

  • Provide administrative and secretarial support in technical and professional areas.
  • Type correspondence, reports, meeting minutes, forms, budget requests, and related items for park staff.
  • Compile and edit information for reports.
  • Receive and screen incoming mail, handling items personally or forwarding to the supervisor or other staff with necessary background material.
  • Maintain a tracking system to ensure timely completion of correspondence, reports, and other tasks.
  • Act as a receptionist: answer and make telephone calls, operate a two-way radio, relay messages, answer public inquiries, provide information and directions, handle general complaints, and direct matters to appropriate personnel.
  • Process weekly reports and receipts.
  • Process invoices, requisitions, and field purchase orders for office administration and payment.
  • Use Quicken to project and track budget items for the park.
  • Maintain inventory of forms and office supplies.
  • Update and maintain the Operations Procedures Manual and Department Directives Manual.
  • Review monthly and OPS payrolls for accuracy and process routine and special reports as required.
  • Perform related work as required.

Requirements

  • Compliance with the processing requirements of Chapter 215.422, F.S. is mandatory.
  • Knowledge of office procedures, correct spelling, punctuation, and grammar usage.
  • Ability to accurately and completely fill out forms and reports.
  • Act as an authorized purchasing agent for My Florida Market Place and purchasing (P-card) transactions.
  • Skill in typing and using a computer and software programs such as Microsoft Office Suite.
  • Ability to efficiently and accurately perform cash register transactions, including cash handling and making correct change.
  • Type letters, memoranda, and other standard business forms in correct format.
  • Prepare and maintain financial records, including budget tracking and report submission within established timeframes.
  • Organize files and other records.
  • Act as an office receptionist and handle telephone calls courteously and effectively.
  • Work schedule: 7:30 a.m. – 4:30 p.m., with the possibility of some nights and weekends.
  • Perform basic arithmetical calculations.
  • Plan, organize, and coordinate work assignments.
  • Communicate effectively both verbally and in writing.
  • Establish and maintain effective working relationships with others.
  • Operate a variety of business and office machines, including computers and cash registers.
  • Maintain a valid driver’s license.
  • Successfully complete a background and fingerprint check.

Qualifications

  • Valid Driver’s License.

Pay

$15 an hour.
