Administrative Assistant for Philander Chase Conservancy (PCC) and Kokosing Nature Preserve (KNP) at Kenyon College

Position Summary

The Administrative Assistant supports the Director of the Philander Chase Conservancy and Kokosing Nature Preserve, two non-profit organizations affiliated with Kenyon College. Reporting to the Director, the position offers clerical support, legal record keeping, and meeting/event support.

Essential Functions

  • Supports easement and property transactions by preparing and filing legal documents and contacting landowners.
  • Affiliated with the Local Agricultural Easement Purchase Program of the Ohio Department of Agriculture, assisting with applications and attending meetings.
  • Serves as secretary for the PCC Board of Directors, drafting meeting minutes for all full board and committee meetings.
  • Assists with planning and logistical support for three full board meetings annually and ongoing monthly committee work, including meeting logistics, document management, and packet preparation.
  • Oversees publication and distribution of the Year in Review and other newsletters and mailings.
  • Assists the Green Burial Coordinator and KNP Board of Directors with board meetings and special meetings, managing documents and preparing meeting packets and minutes.
  • Maintains PCC and KNP websites and social media presence, including posting on various platforms.
  • Oversees monitoring of protected properties, including visits and preparation of monitoring reports.
  • Supports events at Kokosing Nature Preserve, including landowner/partner meetings and tours.
  • Manages the Friends of PCC membership list and stewardship/gift acknowledgment process.
  • Provides administrative support for PCC and KNP, including budget management, purchasing card support, filing, travel support, professional memberships, phone calls, and calendar support.
  • Supports the Green Burial Coordinator for services and burials at Kokosing Nature Preserve.
  • Maintains inventory for office supplies, stationery, and publications.
  • Manages reservations for the Reception Center at Kokosing Nature Preserve.
  • Supports the Land Trust Accreditation Commission re-accreditation process every 5 years.

Working Conditions

Work is generally performed in the office environment and requires the ability to operate standard office equipment. Occasional weekend hours and willingness to be “on call” for KNP burial assistance are required. Willingness to lift items weighing up to 30 pounds and move tables and chairs when necessary for events is also required. The ability to obtain College driver certification is required.

Minimum Qualifications

  • Two year college degree or five years of experience as an administrative assistant.
  • Paralegal experience preferred.
  • Experience in planning meetings and/or organizing large projects.
  • Ability to do independent long- and short-range planning.
  • Driver’s license.
  • Willingness to work occasional weekends and evenings.
  • Previous experience with Kenyon and/or Knox community desirable.
