Responsibilities
- Ensure compliance with CFE Performance Standards.
- Assists with monitoring food service subsidies, including deadlines, loss of subsidies, co-payments, and billing.
- Assists with billing processes, such as attendance, meal counts, and documentation.
- Tracks and monitors vehicle maintenance.
- Checks in/out of company vehicles and travel cell phones.
- Maintains staff emergency phone tree.
- Affixes to center maintenance needs, completing help desk tickets, scheduling, and following up with vendors.
- Ensures weekly completion of purchase orders.
- Affixes to monthly CFE newsletter, as assigned.
- Coordinates supply orders for center.
- Updates inventory records.
- Receives mail and deliveries and directs to appropriate person.
- Type memos, correspondence/letters, reports, and other documents upon request.
- Sets up copies, types, files, and replenishes any needed forms.
- Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.
- Operates a multi-extension phone AWARE system to receive incoming phone calls, determine the nature of business, obtain caller's name, message, and direct callers.
- Affixes to center cleaning and organizing, as indicated.
- Maintains confidentiality of records and information on CFE staff, children, and families.
- Attends and participates in mandatory training, in-services, staff meetings, and committees as assigned and noted in AWARE's Employee Handbook.
- Reports to work at scheduled times and maintains good attendance.
- Performs all duties in a timely and professional manner.
- Participates with a positive attitude and behavior in all program activities.
- Performs other duties as assigned.
Requirements
- High School Diploma or HSE is required; Associate Degree, Bachelor's Degree preferred, with a minimum of two years of related clerical/administrative experience.
- Experience working with children aged 0 - 5 and families in an educational setting is helpful.
- Requires knowledge and experience in record keeping.
- Computer literacy including database management, spreadsheet, word processing, internet, email.
- Ability to form professional relationships with a diverse group of people.
- Ability to relate positively to young children, parents, and staff.
- Excellent communication skills, written and verbal.
- Excellent diagnostic and problem-solving skills.
- Ability to organize and effectively handle multiple tasks.
- Knowledge of CFE Performance Standards, philosophy, and mission, desirable.
- Must have a valid Montana driver's license and liability insurance.

Pay
AWARE adminstrative assistants earn $17.67 per hour.
