About the role
As a Administrative Assistant, your responsibilities will include:
- Maintaining equipment maintenance records, service histories, and work order documentation
- Creating, tracking, and closing work orders in a timely manner
- Aiding with scheduling preventative maintenance and equipment repairs
- Collaborating with technicians and supervisors to ensure accurate completion of maintenance records
- Tracking equipment status, availability, and out-of-service units
- Preparing reports related to equipment performance, maintenance activities, and downtime trends
- Managing parts orders, inventory tracking, and vendor communications
- Organizing and maintaining digital and physical filing systems
- Aiding with billing, invoicing, and data entry activities
- Communicating equipment updates to internal departments and customers
- Supporting compliance with company policies, safety standards, and regulatory requirements
Requirements/Qualifications
- High school diploma or equivalent required; associate degree preferred
- 1–3 Years Of Administrative Experience Required
- Experience in fleet, maintenance, aviation support, or related industries preferred
- Proficiency with Microsoft Excel, Word, and Outlook
- Experience With Maintenance Management Systems Preferred
- Strong organizational and time management skills
- Ability to multitask and prioritize in a fast-paced environment
- Excellent communication and interpersonal skills
- Strong attention to detail and record-keeping abilities
- Reliable attendance and stable work history required
