About the role
The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.
Responsibilities
- Answers and transfers phone calls, screening when necessary.
- Welcomes and directs visitors and clients.
- Maintains filing systems as assigned.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Responds to and resolves administrative inquiries and questions.
- Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
- Prepares agendas and schedules for meetings.
- Records and distributes minutes or other records for meetings.
- Maintains office supplies and coordinates maintenance of office equipment.
- Maintains a system for recording expenses and the use of petty cash.
- Participates in educational activities.
- Maintains confidentiality at all times.
- Enhances communications by consistently displaying excellent customer service skills.
- Performs other related duties as assigned.
- Adheres to high standards of ethical conduct and complies with all applicable laws and regulations, including Solaris Health Code of Conduct and policies.
- Maintains the confidentiality of patients' protected health information in compliance with HIPAA.
- Reports any suspected concerns and/or violations to a supervisor and/or the Compliance Department.
- Completes Annual Compliance Training in a timely manner.
Requirements
- High School Diploma or equivalent required; some college courses and/or Associate’s degree preferred.
- Minimum of 2 years Administrative Assistant experience, preferably in a Healthcare environment.
Skills
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Skill in using computer programs and applications including Microsoft Office.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Knowledge of research methods and procedures sufficient to compile data and prepare reports.
- Decision-making and strong problem-solving skills.
- Ability to work independently and manage deadlines.
- Compliance with HIPAA regulations for patient confidentiality.
- Compliance with all health and safety policies of the organization.

Pay
Starting range: $20.00 - $25.00 per hour
