About the role
The U.S. Probation and Pretrial Services Office for the District of Arizona seeks an Administrative Assistant to support the Chief U.S. Probation Officer. The position involves planning and executing meetings, preparing documents, managing travel, maintaining calendars, and overseeing various administrative tasks.
Responsibilities
- Aids in planning and executing meetings, conferences, and events, including space reservations, agendas, event setup, AV arrangements, procurement, and logistics.
- Prepares correspondence, presentations, spreadsheets, reports, forms, mailings, or other documents, ensuring timely completion.
- Starts presentations/reports from conceptual ideas or existing materials for executive review.
- Arranges travel itineraries and accommodations for the Chief U.S. Probation Officer and other executive management team members.
- Manages the U.S. Probation and Pretrial Services Office's internal and external websites, including content management and quality assurance.
- Coordinates hiring and promotions, including editing announcements, scheduling interviews, and collecting supervisor feedback.
- Maintains the annual law enforcement officer badge and credential sighting processes.
- Manages parking and office assignments for the Probation and Pretrial Services Office.
- Performs other duties as assigned.
Requirements
Minimum Qualifications:
- High school graduate or equivalent.
- Two years of general experience.
- One year of specialized experience at the CL 25 or equivalent.
Preferred Qualifications
- Experience as an executive assistant.
- Familiarity with Adobe and Microsoft Office Suite.
- Familiarity with Microsoft Outlook.
