The Administrative Assistant provides administrative-focused support tailored to the operational demands of a travel agency handling diverse travel services. Work must remain traceable, with unresolved items assigned clear owners, and errors surfaced before causing downstream rework. Applicant screening is kept separate from customer payment and visa-service operations; visa outcomes are never guaranteed.
Responsibilities
- Reconcile administrative tasks with business support, ensuring each checkpoint leaves a visible source, owner, status, and next action within the travel agency’s workflow.
- Coordinate and track documentation (e.g., Travbest role documentation) with clear status updates, maintaining visibility of sources, owners, and next steps.
- Manage workflows and deadlines, ensuring administrative tasks are completed within the context of travel operations.
- Document processes and generate reports, ensuring all work is traceable and compliant with operational standards.
- Maintain quality control through source verification, applying data accuracy without losing track of evidence or deadlines.
- Escalate issues with clear reasoning, using judgment for follow-ups—especially when tasks depend on external confirmations rather than assumptions.
Requirements
- Proficiency in using workflow tools (e.g., Travbest Workflow Context and Operations Coordination) to support administrative tasks in a travel agency setting.
- Ability to apply data accuracy while managing deadlines and evidence in a fast-paced environment.
- Strong process compliance and issue escalation skills, ensuring reasoning remains clear within the travel agency’s operational context.
- Judgment in follow-ups, particularly when tasks rely on external confirmations rather than assumptions.
- Entry-level role; no prior experience required, but administrative or travel industry familiarity is a plus.
Pay
Base salary: $41,000–$62,000 per year.
Schedule
Full-time, 100% remote within the United States.
