About the Role
An Administrative Assistant I provides a wide array of support to all departments within the Firm with a beginner-level skill set and knowledge of processes and procedures. In this role, you will learn the basic processes and procedures.
Responsibilities
- Scanning and copying
- Process outgoing mail through postage machine, including bulk mailings, overnights, certified, etc.
- Process incoming mail and distribute
- Occasionally going to the post office, including daily trips during tax season
- Administrative errands, including Walmart, BJs, or other store runs as needed
- Answer rollover calls
- Cover receptionist desk as needed for lunches, out-of-office, etc.
- Various typing projects as needed, including letters, mail merges, labels
- Basic understanding of monthly engagement letters to clients, including preparing, formatting, scanning, copying, and filing
- Process bank confirmations
- Maintain portal, including adding staff, updating clients, uploading files
- Rotational kitchen duties, including ordering lunches, maintaining kitchen/coffee supplies
- Maintain administrative areas and front desk/lobby, including organizing/maintaining supplies, stocking, and ordering
- Basic understanding of copying and processing tax returns, including corporate, trusts, gift tax, nonprofit, pension administration, and personal returns
- Electronic filing of extensions and tax returns
- Basic understanding of copying, scanning, binding, proofing, and editing at all stages of the financial statements
- Proof, edit, and bind proposals/valuation reports
Requirements
- Completion of a high school diploma or equivalent; additional coursework in math is preferred
- Minimum of one year of clerical or administrative experience
- Ability to work independently as well as in a team environment
- Ability to handle driven deadlines and work in a high-paced, demanding environment
- Ability to prioritize and handle multiple tasks simultaneously
- Strong verbal and written communication skills
- High degree of attention to detail and organization
- Understanding and previous use of a Windows-based computer system and applications such as Microsoft Word, Excel, and Outlook
- Ability to type 60-70 WPM minimum and possess solid proofreading skills
- Strong ability to read and interpret written word and understand verbal instructions
- This position requires overtime during tax season and around other deadlines throughout the year
- Occasional lifting of 5–10 pounds
Pay
$23–$25 hourly wage
