Our Manhattan, NY office is seeking a detail-oriented Administrative Assistant to support a team of professional staff in the Tax and Audit department, as well as the office’s recruiting efforts.

About the role

This full-time position is highly demanding and requires a positive, self-motivated individual with superior organizational skills, the ability to meet deadlines, and the capacity to manage multiple tasks simultaneously. The role extends beyond traditional administrative duties to include coordination of campus career fairs and other firm programs.

Responsibilities

  • Format and proofread financial statement reports; prepare signed, secured PDFs
  • Process client PDF copies of Corporate, Partnership, and Individual income tax returns
  • Copy documents, send mail receipt and delivery notices
  • Process incoming and outgoing Federal Express, certified mail, and other courier packages
  • Perform word processing duties, including composing memos, letters, emails, and other correspondence with minimal guidance
  • Scan forms, reports, and correspondence into PDF format
  • Set up client and organizational folders on the company’s network system
  • Maintain client databases, including updating contact information, setting up new projects, and maintaining tax due lists and printing reports
  • Conduct internet research as needed
  • Provide professional telephone support, including answering, directing, and screening calls
  • Maintain electronic and paper filing systems
  • Prepare client invoices and handle communication related to billing and collections
  • Provide back-up support for other Administrative Assistants in the company
  • Perform other related duties as required

Campus Recruiting Support

  • Work closely with the People Engagement Promoters Team (“PEP Team”) to support campus recruiting efforts
  • Attend campus recruiting events to promote the Firm in a professional, enthusiastic manner
  • Assist with staffing recruiting events with professionals from the Manhattan office
  • Securely and accurately maintain inventory of all PEP-provided recruiting materials (giveaways, banners, nametags, clipboards, etc.)
  • Provide PEP Team with post-event items, such as photos and resumes, on a timely basis
  • Support PEP Team with coordination of interviews as requested by the hiring team

Requirements

  • 2–3 years of experience in an Administrative Assistant position
  • Strong written, verbal, interpersonal, and presentation communication skills
  • Excellent organization, attention to detail, follow-through, and time management
  • Ability to manage competing priorities, deadlines, and shifting business needs with professionalism
  • Strong client-service mindset and ability to support partners, managers, staff, candidates, and external contacts
  • Thrives in a fast-paced, high-pressure environment
  • Proficiency in MS Word and MS Outlook; working knowledge of MS Excel, Adobe software applications, and Microsoft Teams
  • Time flexibility, including willingness to work before or after regular hours (8:00 a.m. to 5:00 p.m., Mondays through Fridays) to meet short-notice report deadlines and recruiting efforts
  • Authorization to work in the U.S. for any employer

Preferred Qualifications

  • Accounting software experience (ProSystem Practice, ProSystem Tax, ProSystem Engagement, QuickBooks, Sage 50)
  • Experience in a Public Accounting or Law Firm environment
  • Experience attending career fairs or trade shows
  • German language skills

Pay

Base Pay Range in the Manhattan metropolitan area: $60,000 – $70,000/yr. Exact compensation may vary based on skills, experience, and location.

Schedule

Full-time, Monday through Friday, 8:00 a.m. to 5:00 p.m., with occasional flexibility required before or after regular hours.
