Administrative Assistant

Responsibilities

• Cook up real estate transactions from contract to close — track deadlines, manage paperwork, and communicate with title, escrow, agents, and lenders
• Manage day-to-day rental portfolio operations — tenant communication, rent collection, maintenance coordination, and lease renewals
• Provide executive support to the owner — calendar, email, scheduling, and business and personal errands
• Handle general office administration — documentation, filing, supplies, and vendor coordination
• Keep CRM, records, and systems organized, accurate, and up to date
• Jump into operations and special projects wherever the business needs an extra set of capable hands
• Anticipate needs and solve problems before they land on the owner's desk

Qualifications

• A quick learner who picks up new software, systems, and processes fast
• Exceptionally organized and detail-oriented, with reliable follow-through
• Proactive, resourceful, and comfortable wearing many hats in a fast-paced environment
• Strong written and verbal communication skills
• Tech-comfortable — proficient with CRM, Google Workspace/ Microsoft Office, and online tools
• Discreet and trustworthy with confidential business and personal information
• Valid driver's license and reliable vehicle (errands are part of the role)
• Real estate transaction coordination experience a strong plus
• Property or rental management experience a plus
• Prior executive assistant or office administration experience a plus
