Administrative Assistant
About the role
Patel, Greene & Associates is seeking a detail-oriented Administrative Assistant to join our administrative team in our Carrollwood, Florida office. This role provides essential administrative and office support to ensure the smooth and efficient day-to-day operation of the office. The Administrative Assistant serves as a welcoming first point of contact while managing front desk responsibilities, office supplies, deliveries, events, and general administrative needs. The position also offers the opportunity to assist with basic bookkeeping and accounting tasks while developing new skills and growing professionally. Responsibilities
- Lead office management including front desk responsibilities, event management, and monitoring/maintaining office supplies
- Receive and process deliveries
- Assist with general administrative, bookkeeping, and accounting tasks
- Assist with copying, scanning, and compiling presentation packets/binders
- Proactively initiate assistance to other PGA staff members
- Display eagerness toward learning new methods and skills
Requirements
- High school graduate or equivalent (college graduate preferred)
- 0-5 years of previous receptionist or office management experience
Skills
- Proficiency in MS Office and a wide variety of office support and administrative functions
- Punctual with strong organizational skills and ability to perform multiple tasks in an organized manner
- Excellent numeracy, literacy, written, and verbal communication skills
- Strong interpersonal skills with a positive attitude
- Ability to work in a fast-paced, multitasking environment while maintaining high standards
- Ability to work independently and as part of a team
- Completes tasks thoroughly, accurately, and timely with minimal errors
Working Conditions
The work environment involves regular desk work, including prolonged sitting and computer use. The employee is frequently required to stand, walk, and occasionally lift items up to 40 lbs. The role requires accessing and navigating each department at the organization’s facilities. The employee may occasionally be exposed to outside weather conditions.
