Responsibilities
- Address staff and client inquires or requests in a welcoming and professional manner.
- Determine the nature of requests from visitors/clients and provide information where possible. Identify appropriate actions for requests not readily available and expedite them.
- Create and maintain the central filing system and tracking for invoices, tenders, contracts, and service agreements. Send deadline reminders, maintain copies of proposals, reports, and approved agreements.
- Take minutes accurately reflecting decisions and discussions in meetings. Prepare and distribute minutes clearly.
- Prepare and format correspondence for various external audiences.
- Maintain and implement digital and paper filing systems.
- Arrange travel and accommodations.
- Create and reconcile expense reports for other staff members and submit to finance.
- Schedule and book meetings/conferences.
- Complete purchase requisitions and obtain approval for requests.
- Provide assistance in event preparation when required.
- Maintain confidentiality with sensitive information.
- Provide coverage for the Secretary/Receptionist as needed.
- Travel as required.
Qualifications
- Two (2) year diploma course in Office Administration with 3-5 years related working experience.
- Combination of relevant education and/or experience may be considered.
- Strong organizational, time management, and problem-solving skills.
- Proficient in computer skills including Microsoft Word, Excel, and PowerPoint, with the ability to learn new software applications.
- Attention to detail and strong written and verbal communication skills.
- Willingness to travel to Nunatsiavut communities.
- Knowledge of the Labrador Inuit culture and northern communities.
