About the role

As the first-person contact in the Student Financial Services Office, the Administrative Assistant provides clerical and administrative support to the Director of Student Financial Services and the office staff. This role ensures excellent customer service to students, families, prospective students, and visitors by addressing routine financial aid and cost of attendance inquiries.

Responsibilities

  • Greet current students, families, prospective students, and visitors; assess their needs and provide direction or assistance.
  • Manage incoming calls, emails, and department calendars; direct inquiries to appropriate personnel and deliver messages promptly.
  • Create and maintain organized physical and electronic student files and financial aid documents.
  • Perform clerical functions, including typing, filing, and mailings.
  • Process cash, checks, credit/debit card payments for tuition, fees, and other student account charges.
  • Prepare daily deposits in compliance with accounts payable standards.
  • Oversee Transact cashiering as directed by the Associate Director of Student Financial Services and Student Financial Services Billing and Accounts Specialist.
  • Track and maintain department engagements and priorities on the department calendar.
  • Update student information, such as address changes.
  • Manage requisitions, orders, purchases, travel, and office supplies.
  • Assist with projects as directed by the Executive Director and Associate Director of Student Financial Services.
  • Other duties as assigned.

Requirements

  • Excellent customer service and interpersonal skills.
  • Strong organizational, written, and verbal communication skills.
  • Proficiency in administrative and clerical tasks.
  • Strong computer skills, including Microsoft Word, Excel, and PowerPoint.
  • Ability to multi-task and meet strict deadlines.
  • Ability to maintain confidentiality.
  • Availability to work some evenings and weekends for events such as Virtual Open Houses, Orientations, and assigned workshops/seminars.

Qualifications

  • Associate Degree in Business or related field preferred.
  • Previous office management experience preferred.
