About the role

Under the supervision of the Building Principal, this candidate will provide major administrative secretarial support to the principal and ensure the efficient operation of the main office. The role requires a high degree of confidentiality, accountability, and independent judgment, with responsibility for routine tasks, problem-solving, and adherence to office protocols.

Responsibilities

  • Maintain confidentiality and serve as a personal assistant to one or more administrators.
  • Monitor record-keeping procedures to ensure accurate, timely collection, verification, recording, and retention of program data.
  • Greet and assist office visitors; answer and direct calls; take messages; manage calls efficiently.
  • Prepare computer files (letters, memos, notes, emails, spreadsheets, slides, etc.) and respond to inquiries.
  • Maintain calendars and schedule meetings as directed.
  • Process incoming, outgoing, and interoffice mail and shipments; verify contents with packing lists/purchase orders.
  • Organize and store supplies and equipment; maintain inventory control; reorder supplies as needed; document and maintain asset inventory records; tag fixed assets as directed.
  • Assist administrators with managing board-approved budgets, contacting vendors, and preparing requisitions for approval.
  • Keep administrators informed of work progress and pending deadlines.
  • Assist with special projects and committee activities as directed.
  • Perform other duties as assigned.

Requirements

  • Demonstrated excellent interpersonal and organizational skills.
  • Ability to speak and comprehend clearly via telephone, face-to-face, and written communication.
  • High School Diploma.
  • An acceptable score on a pre-employment skill test may be required.
  • Advanced office administration skills substantiated by training and/or relevant work experience.
  • Ability to lift/move supplies/equipment weighing up to 15 pounds.
  • Complies with drug-free workplace rules, board policies, and administrative guidelines/procedures.
  • Displays flexibility, reliability, self-discipline, and willingness to take on challenging tasks.
  • Reacts productively to interruptions and emerging priorities.
  • Demonstrates ability to implement administrative principles, practices, and procedures.
  • Maintains a record free of criminal violations that would prohibit public school employment.
  • Meets all mandated health screening requirements.
  • Demonstrates proficiency using equipment and software associated with the position (e.g., Google Suite, Microsoft Word, Excel, PowerPoint).

Preferred Qualifications

  • Previous experience in an office or clerical field.

Pay

Step 1: $40,412.00 per year.
