About the role
We are seeking a highly organized and proactive Administrative Assistant to support our team with daily operations. The ideal candidate is detail-oriented, an excellent communicator, and thrives in a fast-paced environment.
Responsibilities
- Answer and transfer phone calls to different departments.
- Manage and approve calendar requests for conference room meetings.
- Assist Mitigation, Construction, and Administrative teams with document scanning.
- Maintain front desk: scanning, files, paperwork, outgoing mail.
- Weekly ordering of office supplies and maintain inventory.
- Assist in ordering and maintain uniform inventory.
- Assist in taking new losses via phone.
- Support additional administrative support for all departments and employees as needed.
- Provide administrative support, including scheduling, correspondence, and filing.
- Manage calendars, coordinate meetings, and arrange travel.
- Answer phones, greet visitors, and handle inquiries professionally.
- Maintain digital and physical records, ensuring accuracy and confidentiality.
- Assist with data entry, report preparation, and meeting logistics.
- Support team projects and perform other duties as assigned.
Qualifications
- 2–5 years experience as a receptionist and/or administrative support.
- Ability to write and compile reports and correspondence.
- Previous experience with Outlook, Excel, Word, and PowerPoint.
- Associates Degree preferred but High School Diploma or GED required.
- Previous experience within the construction and marketing industries helpful.
- Must maintain a valid Driver’s License and maintain a safe driving record.
- Must be able to exercise good judgment and to understand and carry out written and/or oral instructions, along with sound problem solving ability.
