Primary Functions And Essential Responsibilities

  • Meetings & Calendaring: Goal-level calendar management, extensive coordination and scheduling of internal and external meetings and conference calls, including catering, document distribution, and conference room technology setup.
  • Travel & Expenses: Coordinate all aspects of domestic and international travel, manage payment and maintain real-time tracking of meeting and itinerary changes, ensure passports and visas are up-to-date, and compose detailed itineraries.
  • Additional Office Manager Services: Liaise with building management, coordinate supplemental cleaning, oversee local parking and badge access, inventory and order office supplies, coordinate Ares US Corporate Services programs, and maintain an ongoing Reception Desk presence.
  • Mailing Services: Strong onsite presence, sorting, scanning, and shipping, and strong technical proficiency in MS Word, Excel, PowerPoint, Outlook, and Zoom.

Qualifications

  • Education: Bachelor’s Degree strongly preferred, but not required.
  • Experience: Minimum 3-5 years of experience as an Administrative Assistant or Office Manager.
  • General Requirements: Effective prioritization of multiple professionals, travel coordination (domestic & international), technical proficiency, participation in general administrative duties, ad-hoc projects, experience in managing multiple calendars, scheduling appointments, and screening incoming calls, background in financial services a plus.

  • Compensation: The anticipated rate for this position is listed below. Total compensation may also include a discretionary performance-based bonus. $65,000 - $70,000.
