This is a full-time, non-exempt position designated as a “responsible employee” and may be required to work during emergency closings. Periodic telework eligibility is determined by the department and subject to supervisor approval.

About the Role

The Office of Alumni Relations develops and maintains meaningful relationships between the University and its Alumni by providing support, programming, resources, meaningful events and ceremonies, and opportunities for engagement.

This position facilitates the work of the Alumni Engagement Team by providing administrative support to the Assistant Vice President for Alumni Engagement & Advancement and assisting the team. Responsibilities include answering electronic communications, responding to inquiries, maintaining R.S.V.P. lists, managing office records, maintaining office accounts, reviewing disbursements, interpreting and applying state fiscal policies, managing accounting systems, preparing requisitions using eVA, reviewing and processing invoices, managing student interns and their training, and providing general support for the Gregory P. Klich Alumni House.

Responsibilities

  • Answer electronic communications and respond to inquiries
  • Maintain R.S.V.P. lists and manage all office records
  • Maintain office accounts and review disbursements
  • Interpret and apply state fiscal policies and regulations
  • Maintain accounting systems to reflect day-to-day activity in all accounts
  • Prepare requisitions using eVA
  • Review invoices for accuracy and process invoices for payment
  • Manage student interns, including their training
  • Provide general all-purpose support for the Gregory P. Klich Alumni House

Requirements

  • High school graduate or equivalent education/experience
  • Experience using database, spreadsheet, and word processing software
  • Experience using email and business telephones

Preferred Qualifications

  • Bachelor’s degree or higher
  • Experience with the SLATE platform
  • Experience processing invoices and purchase requisitions
  • Experience organizing and maintaining reports
  • Experience using Microsoft Office
  • Experience creating spreadsheets in Excel
  • Experience using Virginia platforms: eVA, Emburse, and Cardinal

Skills

Pay

$37,831 to $47,289, commensurate with education and experience.
